The role

We have an exciting fixed-term opportunity available in DevelopmentWA’s Operations team providing high-level support to the Metropolitan team. As the Divisional Assistant working closely with and reporting to the Executive Assistant, you will provide high-level administrative support to the division by:

  • Understanding priorities and ensuring relevant information is available to staff to prepare for and achieve results.
  • Coordinating the scheduling of meetings and preparing associated agendas, minutes and documents.
  • Coordinating divisional responses, approval and submission of Board, Executive, Ministerial and committee items.
  • Arranging travel logistics.
  • Providing administration support across the Division as required including document collation, spreadsheet and database maintenance, assisting with corporate functions, field tours and events.
  • Reconciling of purchasing card statements for the division.
  • Utilising the Client Relationship Management and Objective Document Management systems.
  • Providing coverage for the Executive Assistant during periods of leave, and short-term coverage for Reception.

About you

To be successful in this role you will have the following skills, experience and attributes:

  • Demonstrated experience in a similar role providing clerical and administrative support to senior staff and/or a diverse team. 
  • Demonstrated organisational skills, including the ability to work in a high intensity work environment involving multiple tasks and competing priorities. 
  • Experience working effectively in a team, as well as the ability to work without direct supervision.
  • Enthusiastic and pro-active in your approach.
  • Competent in the use of Microsoft Office suite and other systems
  • Demonstrated verbal and written skills relevant to this role, including the ability to proofread material to ensure it meets corporate style requirements.
