Job Description - Scheduling Coordinator

Summary

Pay Cat implements new payroll software for our clients. Each implementation is its own project, with tasks and due dates agreed upon by our clients. We can have up to 40 simultaneous projects on the go simultaneously, and we are growing!. We currently use:

  • Harvest - time tracking
  • Basecamp - project management with the client
  • Hubspot - CRM and job pipeline
  • Scheduling - You can pick!

We seek a highly organised and detail-oriented Scheduling Coordinator to join our team. The successful candidate will manage and coordinate schedules for our implementation team. The ideal candidate will have excellent organisational skills, be able to multitask and have strong attention to detail.

Responsibilities

  • Develop a new scheduling system for the Implementation Team
  • Coordinate and manage schedules for each implementer within the company
  • Communicate with team members to ensure schedules are up-to-date and accurate
  • Monitor and track the progress of projects to ensure deadlines are met
  • Collaborate with sales, support and outsourced payroll to ensure schedules are aligned
  • Identify and resolve scheduling conflicts
  • Assign and maintain task-level due dates that align with the schedule
  • Maintain accurate records of schedules and project timelines
  • Provide regular updates to management on project progress and scheduling issues

Qualifications

  • High school certificate or equivalent required; degree or diploma preferred
  • 2+ years of experience in scheduling or project coordination (e.g. building and construction, project management, NDIS scheduling and planning coordination, etc.)
  • Excellent communication and interpersonal skills
  • Strong attention to detail and organisational skills
  • Ability to multitask and prioritise tasks effectively
  • Ability to work independently and as part of a team
