Accredited Practice Operations Manager 

(Full time or Part Time position)

We are looking for an Accredited Practice Operations Manager to join our team and help direct the day-to-day operations of medical practices including specialist centres. The role will be based between the Gold Coast and Brisbane.

This position on offer is to work Monday to Friday (no weekends). The position would be flexible to a FT or PT role based on the preferences of the preferred candidate.

 

Position Overview:
We are seeking an experienced Accredited Practice Operations Manager to oversee the daily operations and administration of our practices.

This role will lead a team of clinical and non-clinical staff and serves as the first point of contact for the clinics Practitioners.

The ideal candidate will possess strong leadership skills, a solid background in medical practice management with experience in general practice and specialist consulting (including Cardiology preferable).

The candidate will require a high level of attention to detail with a passion for delivering exceptional patient care.

Key Responsibilities:

Operations Management: Efficiently manage day-to-day practice operations, ensuring smooth workflow and adherence to regulatory standards.  Oversee the Specialist centres to ensure all appointment scheduling is checked to ensure practice consulting runs smoothly for the team of specialists.

Oversee stock/inventory levels, liaise with vendors as required, and manage supply orders efficiently. Manage IT issues as they arise.

People Leadership: Lead and supervise a team of medical receptionists, allied health professionals to maintain high performance levels, efficiency of workflow and a positive working environment. Support the doctors as a first level contact. Manage clinics appointments and scheduling to ensure best strategies are used to fill the doctors and teams lists.

Patient Experience: Focus on delivering excellent patient experiences by ensuring outstanding customer service and patient satisfaction in each interaction by all members of the team.

Financial Oversight: Excellent and efficient management of budgeting, billing, and optimisation of revenue streams while controlling costs. Preparing weekly and end of month reports, preparing monthly forecasting reports for the management team.

The candidate will manage the Medicare claiming and overseeing of Aged Debtors and reporting. Train and Manage staff with billing queries.

Compliance and Regulation: Ensure the practice complies with all relevant healthcare regulations and standards. Accreditation experience and auditing required.

  • Report to the General Manager with regular updates and weekly / monthly reporting.

The Successful Candidate

Will have proven Leadership and Management experience;

  • Preferred minimum of 3 years' experience in a managerial role within a specialist medical practice (Cardiology preferred) and general practice, 
  • Diploma of Practice Management (required) 
  • Strong knowledge of medical practice operations.
  • Experience using Best Practice, Tempo and Gentu software is required.
  • Knowledge of Cubiko (desirable)
  • Exceptional leadership, communication, and organisational skills.
  • Strong organisational and time management skills
  • Outstanding communication and customer service skills
  • Attention to detail and can multitask
  • Auditing and Accreditation experience (preferred)
  • A passion for people and a personable approach
