Job Description - Administration Assistant - Part-Time

The Company

Tru-Blue Foods is a recognised WA brand and part of the Family Food group of companies, a 100% wholly owned and operated West Australian company that covers Milling and Plant Bakery operations here in WA. We produce a range of Garlic Bread & Butter products available both locally and nationally, as well as for export to international markets. The Role

We are now looking for an Administration Assistant to join our team based in Maddington. Reporting to the site manager, the successful candidate would be responsible for a range of administrative functions supporting the Production and Customer Service Teams.

The role will be a job share on a permanent part-time basis, (18-20 hours a week), with a minimum of 3 days required across Monday to Friday. 

 

Key Duties/Responsibilities

  • Processing Customer orders using their ordering systems after checking for stock availability
  • Organising deliveries with the freight companies
  • Completing call list for weekly orders
  • Preparing and emailing run sheets
  • Coordinating warehouse staff for stock despatch and collections
  • Answer phone calls and emails
  • Handling Customer complaints
  • Checking and verifying Statements sent by freight companies before submitting to Accounts
  • Maintaining the pallet account and verifying statements before submitting to Accounts
  • Checking and maintaining office supplies, stationery and consumables 
  • Monitoring movement in stock to support production schedules
  • Support the Customer Service team with account queries and debt collection

 

Selection Criteria

Essential

  • Secondary Education
  • Minimum of 2 years’ experience in a similar role
  • A high level of accurate data entry skills
  • Intermediate to advanced user of Excel and other MS Office applications.
  • High level of attention to detail
  • Well-developed communication and interpersonal skills, with the ability to liaise effectively and courteously with internal and external customers and to proactively resolve queries and problems
  • Ability to work autonomously and in a small team environment
  • Demonstrated ability to effectively organise own workload and manage priorities to ensure deadlines are met
  • A can-do attitude, flexible approach to work tasks, and a willingness to learn

Desirable 

  • Working knowledge of MYOB
