Job Description - Administration & Office Support - Part-Time

We are seeking a reliable and motivated Administration / Office Support representative to join our busy Brisbane office. 

CTE Australia (Compliance Training & Engineering) is a leading provider of integrated Electrical Engineering Hazardous Areas, High Voltage & Instrumentation services throughout Australia and Asia Pacific. Through trusted partnerships and world leading insight we work closely with our clients to engineer, design, construct and maintain assets, plants and facilities. 

Headquartered in Brisbane, we are a dynamic and rapidly growing business with projects and offices across Australia, Papua New Guinea, Indonesia, Singapore, Malaysia, China & Dubai. 

This Administration & Office Support position offers diversity with no two days being the same from providing essential day to day administrative support to the executive team to assisting with a range of tasks across the business.

 

DUTIES INCLUDE: 

  • Process invoices, receipts, payments and other financial transactions
  • Reconcile accounts and prepare reconciliation reports
  • Process of employees timesheets 
  • Obtaining quotes, generating purchase orders, and following up on delivery dates 
  • Coordinating training requirements 
  • Site onboarding for employees and sub-contractors
  • Scheduling employee medicals 
  • Scheduling meetings and appointments
  • Taking notes and minutes in meetings
  • Ordering and taking stock of office supplies
  • Preparing documents for meetings and business trips
  • Processing and directing mail and incoming packages or deliveries
  • Writing and issuing emails to teams and departments on behalf of teams or senior management 
  • Scheduling flights and accommodation
  • Conduct general administrative tasks

 

ABOUT YOU

To be successful, you will have a varied skillset which includes:

  • Previous Administrative experience 
  • Willingness and ability to work in a high-pressure/ fast paced environment
  • Excellent time management and organisational skills with the ability to multi-task
  • Proficiency in Microsoft Xero, Office, Excel and PowerPoint
  • Strong written and verbal communication skills
  • Ability work independently or as part of a team 
  • Driver’s Licence
