Job Description - Administrative Officer/ Director Assistant - Urgent Hire - Part-Time

We are hiring a meticulous Administrative Officer/ Director Assistant to join our multidisciplinary team at Jesmond Community Preschool in Jesmond, Newcastle, Maitland & Hunter NSW.

Jesmond Community Preschool is seeking the services of a passionate and motivated Office Administrator who is willing to go above and beyond to support our team in delivering a high-quality service for children and their families.

They must also have exceptional time management skills, the ability to work under pressure and flexibility to work with the staff and the Director.

 

 The successful candidate will have administration and basic bookkeeping experience, excellent verbal and written communication skills, ability to multi-task and problem solve with strong attention to detail.

A strong administration background is essential and any exposure to the early childhood education and care sector would be favourable. We are looking for a suitable person who will be reliable, flexible, and hard working.

Essential Criteria

· Minimum 3 years’ experience in an administration role

· Basic Bookkeeping knowledge: entering accounts payable and receivable, and reconciling bank accounts (experience using MYOB is highly favourable)

· As the first point of contact for families and visitors to the service, you must be friendly, personable, patient and welcoming with excellent communication skills

· Answer phone, face to face, and email enquiries with a high level of professionalism and discretion

· Exceptional time management, multi-tasking, and problem-solving skills

· Attention to detail and accurate data entry skills are essential

· High level computer literacy - including experience with Microsoft Office suite programs such as Outlook, Excel, and Word.

. Confident technology skills to be able to update website, create documents through Canva and the use of social media platforms.

· Be highly motivated, well presented and be able to work independently and as part of a team

.Support and educate school-based administrative trainees and be a positive role model for students

.Have a positive state of mind, dedicated and be able to cope  in high stress situations

· Working with Children Check

.Child Protection course (or willing to complete it prior to commencing)

.First Aid Certificate (or willing to complete it prior to commencing)

· Effective verbal and written communication skills

Desirable

· Experience using OWNA

· Demonstrated ability with processing Payroll

The position will be a 12month contract with the potential of it being a permanent position. There will be a 3-month probation trial as well. It will be a for 15 hours a week (ideally Tuesday, Wednesday and Thursday). The preschool offers excellent working conditions.

 

 Interviews will be conducted (the Management Committee have not yet set a date- most likely in July/ August 2024) Please be aware that we are unable to be flexible with interview times and days due to the Management Committees availabilities. Only successful candidates will be contacted.
