Job Description - Child Care Administrative Assistant - Part-Time

Job Summary:

As an employee, you are expected to be an active member of a team which provides high quality early childhood care and education to children. This includes all matters relating to administrative and financial operation of the Centre.

This includes:

  • Welcoming visitors and families to the Centre.
  • Ensuring that the administration of the Centre is efficient and effective.
  • Developing strong relationships with families at the Centre.
  • Developing strong relationships with other staff at the Centre.
  • Developing strong relationships with children at the Centre.
  • Implementing the policies and associated procedures of the organisation at all times.
  • Working with other staff towards continuous improvement in all areas of the Centre’s operation.

Key Accountabilities:

General Responsibilities:

  • Work according to the Code of Ethics of Early Childhood Australia.
  • Work according to the National Law and Regulations.
  • Work in accordance with the policies and procedures of Stirling Community Early Learning Centre. 
  • Implement the services’ philosophy in undertaking all duties.
  • General office duties.
  • Administration of funding, finances and fees.
  • Monthly P&L reports to Governing Council.
  • Word processing and data entry.
  • Maintenance of filing systems.
  • Implementation and oversight of enrolments.
  • Billing of families

Responsibilities as per the National Standard

  1. Educational program and practice
    1. Maintain and store ongoing records of children’s information.
    2. Ensure children’s records are stored confidentially.
    3. Maintain a welcoming environment for staff, families, children and visitors  
    4.  Ensure that accurate records and detailed records are kept of injury, accident, trauma, illness and administration of medications and stored appropriately.
    5.   Assist in ensuring that the Centre’s child protection policy is implemented by informing the Director of any allegations or convictions of a child protection nature against a staff member and undertaking the requirements of a mandated reporter.

      6.  Take responsibility for the protection and rights of children attending the             service.    

To be successful you will need: 

  • Demonstrated organisational and administrative skills including the ability to prioritise and manage a multi-dimensional and varied workload.
  • Excellent written and verbal communication skills, including the ability to communicate effectively with staff at all levels and culturally diverse stakeholders with a view to fostering relationships.
  • Demonstrated high level competency in the use of computer software and applications, including Microsoft Word, Excel, email, customer relationship databases and internet applications.
  • Competent in the use of MYOB accounting software and payroll applications
  • Competent in the use of Spike booking and billing software systems
