Job Description - Events Officer and Teddy Bear Hospital Coordinator

Role type: Fixed term for two years, 0.4 FTE
Faculty: Faculty of Medicine, Dentistry, and Health Sciences
Department/ School: Department of Paediatrics
Salary: UoM 4 $80,400 to $85,328 p.a. (pro rata) plus 17% super

Your next career opportunity  

As an Events Officer, you will be the first point of contact for all event-planning activities within the Department of Paediatrics. You will have the opportunity to collaborate with senior leaders and coordinators, bringing your problem-solving skills and resource management expertise to deliver exceptional experiences for stakeholders and visitors. Your role will be pivotal in liaising with a diverse range of stakeholders, ensuring high-level customer service and professionalism. This role will require flexibility to work outside of standard business hours at various times throughout the year.

Your responsibilities will include:  

  • Coordinate and Deliver Events: Support the Department Coordinator and team leaders in organising programs like Teddy Bear Hospital and Paediatric Academy workshops.
  • Manage Event Logistics: Prepare materials, liaise with service providers, and ensure smooth event operations.
  • Provide Stakeholder Support: Respond to enquiries, process registrations, and maintain accurate records.
  • Evaluate and Improve Events: Participate in review processes and provide recommendations to enhance future events.

You may be a great fit if:  

You will bring a collaborative working style, exceptional communication skills, and demonstrated experience in event coordination and customer service.

You may also:  

  • Have completed a diploma or certificate level qualification with relevant experience.
  • Demonstrate experience in administrative support and event coordination.
  • Be proficient in Microsoft Office and Zoom, with attention to detail and accuracy.
  • Have experience in social media content creation, particularly LinkedIn and Instagram.

The Department of Paediatrics is the flagship representative of the University’s partnership with the Royal Children’s Hospital and is co-located with the hospital on Flemington Road, Parkville. 

The Department of Paediatrics is a large department within the School of Medicine. The Department has responsibility for the Child & Adolescent Health component of the Doctor of Medicine course of the School.  There are 90 academic and professional staff, 488 honorary academic staff, and more than 150 students who are enrolled to pursue research degrees from Honours, Masters and PhD.  Approximately 220 students rotate throughout the year undertaking the CAH clinical studies, and a further 60 students undertake research in the MD Research Project component of the MD course.   In 2021, the total research income for the Department was over $5.86 million (with a further $46 million directed via our research partner Murdoch Children’s Research Institute (MCRI), and members of the Department published 1126 peer-reviewed publications in 2022.
