Executive Assistant to CEO - Aged Care 

The Role

Longridge Aged Care is looking for an Executive Assistant to support the CE who is responsible for Corporate and Clinical Governance including Human Resources and Property Management. This role will coordinate and manage executive scheduling, prepare and organise important legal and strategic materials and plans, and support board meetings and the preparation of board materials. This role serves as the eyes and ears for the CEO, connecting organizations, projects, and critical business information to the CEO, ensuring meetings and materials are efficient and effective and serves as a trusted partner to deliver against the legal priorities of the business.

The dynamic nature of this role requires that the ideal candidate have exemplary time management skills and the ability to identify and anticipate the CEO’s needs. The role must interact seamlessly and with a professional demeanour across a broad range of individuals including members of the Senior Management Team, Board of Directors, and leaders that report to the CEO. To perform this job successfully, the individual is expected to handle highly sensitive and confidential financial, legal, personnel and institutional information while exercising professionalism and discretion.

Key Requirements

ESSENTIAL

Personal Abilities/Aptitudes/Skills:

  • Possess demonstrated sound interpersonal, written, verbal communication and negotiation skills.
  • Demonstrated effective time management skills, including the ability to prioritise, manage multiple tasks. 
  • Proven ability to effectively work under pressure and to tight time constraint and meet deadlines. 
  • Demonstrated ability to manage demanding work requirements in an environment characterised by large workloads, interruptions and change. 
  • Demonstrated ability to work under limited direction, to work with a high degree of independence, determine priorities and anticipate the requirements of the Program Deliver Manager and team. 
  • Proven ability to work independently and as a member of a multidisciplinary team. 
  • Proven ability to analyse complex situations and devise innovative and creative solutions. 
  • Demonstrated high-level word-processing skills.

DESIRABLE

Two or more years of experience in an administrative role reporting directly to upper management

 

Educational/Vocational Qualifications - Relevant tertiary qualifications such as business management 

  • Experience in a hospital or health industry environment. 
  • Knowledge of the role and functions of an Aged Care Facility. 
  • Knowledge of government strategic directions, policy, procedures and guidelines.

 

Knowledge and Experience

  • Demonstrated experience preparing reports, briefings, and correspondence of some complexity. 
  • Demonstrated experience establishing, maintaining and reviewing systems, practices, protocols, policies and procedures. 
  • Proven experience undertaking research activities, including collecting, analysing and reporting on data. 
  • Demonstrated project management experience. 
  • Demonstrated experience working in partnership with government agencies and community groups. 
  • Demonstrated experience in the use of the Microsoft Office suite of products.
  • Demonstrated experience arranging and providing high level support for meetings, conferences and functions. 
  • Proven experience as executive assistant, personal assistant or equivalent to a senior executive 
  • Demonstrated excellent keyboard and computer skills with advanced knowledge of Microsoft Office applications (including MS Word, Excel and PowerPoint)

A desire to work with older people is essential, and a demonstrated understanding of the Aged Care Quality Standards and the challenges associated with ageing would be an advantage.
