Job Description - Medical Secretary/Practice Manager - Part-Time

Do you love being the glue that keeps everything together for a dynamic, growing specialist practice?

 

This role would be ideal for a Practice Manager that may be seeking to join a smaller practice and play a pivotal role in the growth of the practice in the next 6-12 months or a Medical Secretary seeking to progress their career and move into a Practice Manager role. 

You are a natural born organiser who is hands-on, relish working in a surgical environment and can juggle many balls in the air at the one time.  You are seeking a role that is:

  • Part-time role 3 days per week (with a view to extending to 4 days per week) located at Potts Point
  • Work from home/office - 2-3 days in clinic and 1 day work from home
  • Close to public transport – 7 minute walk from Kings Cross Station and major bus routes
  • $36-$42 per hour plus super depending upon experience 

 

The Practice

We are an expanding solo practice (specialist procedural dermatologist and mohs surgery specialist) located within St Luke's Private Hospital Potts Point specialising in Dermatology and Mohs micrographic surgery.   Our practice offers a range of therapies utilising the latest dermatological technology.

The medical software is Genie software and Dermengine software.

You will be working in an environment that is dedicated to ensuring that patients receive the highest level of patient care in a professional and comfortable environment.  You will be our ambassador of these values and will continue to develop and nurture this culture within the team.  

 

The Role

The main objective of our role is coordinating the day-to-day reception and administration operations of the practice, always delivering exceptional service to patients and families attending the clinic. 

As the practice will be expanding and growing in the next 6-12 months, you will play a pivotal role working closely with the doctor in implementing this growth into the practice.

You will be someone that is highly organised and always a step ahead of the doctor having your finger on the pulse ensuring that all reception and administrative tasks are completed efficiently allowing them to focus on what they love – taking care of the patients.  

This is a permanent part-time position working 3-4 days per week (commencing 3 days per week).  You will be required to work 2-3 days per week in the clinic at Potts Point and then 1 day per week from home.  The days and hours are:

Tuesday, Wednesday & Friday           7.30am-5pm (when in clinic)

1 day working from home                  8.30am-5pm

The per hour rate is $36-$42 per hour negotiable depending upon previous skills and knowledge.  The practice is located only a 7-minute walk from Kings Cross Station and bus routes. 

Your Duties & Responsibilities

  • You are the first point of contact/impression of the business, so you will provide an outstanding level of customer service on the telephone and in meeting and greeting patients
  • You will work one (1) day per week from home co-ordinating and attending to the administration duties for the specialist.      The other 2-3 days will be located in the clinic at Potts Point
  • Answering of phone calls and attending to reception duties on clinic days
  • Efficient management of all patient data, clinical appointments, procedures, clinical files, correspondence and accounts
  • Scheduling and effective management of patient bookings in Genie software
  • Be aware and have your finger on the pulse in relation to billing patient flow, patient care and theatre management 
  • Management and co-ordination of billings (consultation, surgical and health funds)
  • Provide quotation to patients on medical procedures
  • Coordinate surgery admissions, hospital paperwork and theatre lists
  • Provide information to patients on practice services and fees
  • Ensure the delivery and standard of the practice’s processes and procedures are maintained at a high standard and accommodate the future growth of the practice
  • Communicate effectively with the doctor in relation to issues pertaining to the practice  
  • Work closely with the doctor to ensure the best possible experience is provided by the clinic to the patients and families
  • Monitoring and maintenance of office and medical equipment
  • Coordinate accounts receivable and payable and maintain debt prevention 
  • Evaluate and monitor practice expenses
  • Nurture and develop strong relationships with healthcare professionals and stakeholders within the health community
  • Coordinate with external suppliers and advisers

 

Your Skills & Experience

  • Previous experience as a Medical Secretary or Practice Manager in a busy private surgical specialist practice  
  • Competent in using Genie medical software is desirable
  • Advanced computer skills and comfortable with utilising digital technology to streamline practice processes and for efficiency
  • You are passionate about providing an exceptional level of customer service
  • You understand the operational functions within a specialist practice and the importance of a Medical Secretary/Practice Manager role in ensuring the smooth operational daily function and in communicating with the specialist.  You are excited about being a foundation team member in growing the practice
  • Being the right hand of a busy specialist comes naturally to you and you are always ten steps ahead by your thorough organisation, planning and action
  • Passionate, energetic, results-focused and a ‘can do’ attitude.  You are committed to a high level of integrity and professional standards
