Office Administrator Assistant Position
An exciting opportunity has opened at PLASAIR Pty Ltd for an Office Administration Assistant to join our team. We are searching a suitable candidate to fill a part time, Monday to Friday with flexible hours position.
Candidates will possess strong administrative attributes and prior experience including but not limited to assisting management and clientele in general office duties and tasks, providing polite and professional customer service such as scheduling, system management and bring the ability to operate both autonomously and as a member of the team.
The tasks and responsibilities of the Office Administrator Assistant include:
- Daily completion of the companies’ general administrative tasks
- Generating and scheduling of incoming customer work requests
- Answering phone calls and assisting customers with various requests
- Processing weekly payroll, accounts payable, quarterly BAS and general accounting requirements
- General housekeeping duties
- Generating supplier purchase orders and managing/processing monthly payments due
- Act as the main point of contact for internal and external clients
- Work alongside in assisting the company director, service and office managers with general administrative requirements
- Client Account, Asset Management and Weekly Reporting
- Filing and expense reconciliations
- Provide ongoing support to technicians, management, and customers
- Freight and/or transport bookings for the provision of goods or services
- Stationary, PPE, warehouse and refrigerant stock reporting and replenishment
- Aged Debtor reporting and collections
- Fleet and Technician Toolbox Meeting reporting and minute keeping
- Coordination and management of all technician licensing and inductions
- Other ad hoc duties as necessary
To be successful in this role you will be professional, accurate, reliable, and responsive. You must be comfortable and familiar working with computers, be willing to learn the ropes of our job management and accounting systems in addition to the general office and administrative duties required of this diverse position. With this, you will bring the following attributes;
- Previous Administrative Experience
- Excellent time management skills
- The ability to multi-task and prioritise
- Attention to detail
- Excellent communication skills, both written and verbal
- Be proficient in the use of Microsoft Office
- Methodical, accurate and an independent thinker
- Prior knowledge in the use of Xero and SimPRO software are advantageous but not essential as on the job training will be provided
