Job Description - Part-Time Receptionist

What this opportunity involves:

We are seeking a detail-oriented and customer-focused individual to join our team as a Receptionist. In this role, you will be responsible for providing exceptional reception services, call management, visitor management, mail management, workplace experience support, and hospitality services. Your contributions will ensure a seamless and professional experience for employees, visitors, and clients.

An Overview of the role:

  • Provide coverage for reception area, ensuring a welcoming and professional environment.
  • Utilize NetApp intranet and phone systems to manage calls, look up employee contact information, and direct inquiries to the appropriate staff member.
  • Greet visitors, notify personnel of their arrival, and monitor employee and visitor flow in and out of buildings.
  • Maintain security requirements by ensuring visitors sign the visitor log and distributing guest badges using the Lobby works system.
  • Maintain a professional appearance of the building lobby or reception area.
  • Support visitors with transportation requests, such as arranging taxi services.
  • Receive and route all deliveries, interact with vendors, couriers, and delivery personnel.
  • Responsible for mail sorting, distribution, and assisting with self-service shipping and courier services..
  • Support Workplace Experience (WX) activities, including office coordination, housekeeping, courier services, office repairs and maintenance, moves, pantry services, and stock management.
  • Assist with Facilities activities, such as managing work orders and conducting cleaning audits.
  • Provide support with training and meeting rooms, including equipment setup and furniture arrangement, as time permits.
  • Offer hospitality services, including providing refreshments for client meetings, stocking pantries, and spot cleaning kitchenettes.

  • Proven experience in a receptionist or customer service role.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficient in using phone systems, intranet platforms, and basic office software.
  • Attention to detail and commitment to delivering exceptional customer service.
  • Knowledge of mail management systems and basic accounting processes is preferred.
  • A proactive mindset and willingness to go the extra mile.
