Job Description - Practice Manager / Business Manager - Part-Time

The Practice

Hardwick Psychological Services is a private psychology practice in Ashgrove Brisbane. Our vision is to be a centre for excellence in the provision of clinical psychological and neuropsychological services to clients across the lifespan who are experiencing emotional and/or cognitive difficulties. We aim to provide support that is truly in service of our clients’ needs and contributes to both the individual and community in which we live.  We value our staff and wish to create a working environment that supports individuals and their development.

The Role:

We are looking for an experienced and motivated person with Practice Management or Business Management experience, ideally within a health-related practice. The role will work closely with the Office Manager and Director in the management and growth of the clinic.  The position is 3 days a week and includes the following types of duties:

Duties

  • Practice Management - Working with the Director and Office Manager to oversee the daily running of the practice.
  • Strategy and Growth – Identifying current performance of the practice and working with the Director to determine ways to improve operations, and to drive increased growth in the practice. 
  • Policies and Procedures - Development, implementation and review of practice policies and procedures.
  • Financial Management – financial management including aged receivables, reconciliations and collections. 
  • Customer Service – Working to ensure excellence in customer service, including supporting administration staff in their work and management of customer complaints and records requests. 
  • Recruitment & Training – Assisting with the recruitment and training of new administration staff, as well as supporting the Director in the onboarding of new clinical staff.
  • General administration duties

Skills and Attributes

  • 3+ years of similar experience in business or practice management within a health-related business.
  • Relevant qualifications and training. 
  • Strong skills in strategic thinking and problem-solving – need to be able to analyse problems, determine solutions, and work collaboratively with the team to implement solutions, and review / track the outcome of these solutions.
  • An interest in data and numbers, and basic excel / google sheets knowledge.
  • Organisation & Attention to detail – This position will require the ability to create and manage multiple processes and systems to ensure smooth running of the practice. The role also involves the checking of data for accuracy and so attention to detail is important. 
  • Independence – needs to be able to manage the demands of the job with high levels of independence.
  • Honesty and integrity.
  • People management, communication skills and personal qualities - high levels of interpersonal skills are required to interact with clients, and work with the psychologists and the administration team. The position will require the skills to manage others with positivity, fairness and confidence. Personal qualities of striving for excellence, flexibility and warmth are important.
