At Talaria Podiatrist, we provide exceptional foot and lower limb care through a patient-centered approach. Our dedicated team of podiatry professionals is committed to supporting the health and well-being of our community. We are seeking a versatile and enthusiastic All-Rounder Receptionist/Administrative Assistant to join our supportive and collaborative team.
This is for a part-time role, 10-15 hours a week.
ROLE DESCIPTION:
As a Receptionist/Administrative Assistant at Talaria Podiatrist, you will be the first point of contact for our patients and play a crucial role in ensuring smooth and efficient clinic operations. Your key responsibilities will include:
Front Desk Reception and Administrative Duties:
· Greet and assist patients providing prompt, friendly and professional service.
· Manage phone calls, emails, online bookings, and patient queries.
· Schedule and reschedule appointments using Pracsuite Software.
· Process payments via HICAPS/EFTPOS and Pracsuite including Medipass/Tyro
· Balance daily transactions.
· Manage orthotic ordering process
· Maintain a clean, sterile working environment following infection control procedures.
· Follow-up on outstanding accounts.
· Maintain electronic patient records and manage correspondence.
· Manage mail, orders, and office/clinical supplies inventory.
· Provide compassionate and knowledgeable customer service.
· Address patient concerns and provide information on treatments and services.
· Assist with PR campaigns and staff CPD activities.
· Assist in updating and implementation of procedures for various administrative tasks.
· Additional ad-hoc duties as assigned by the Director.
Qualifications and Skills:
· Previous experience in a receptionist or administrative role, preferably in a healthcare setting.
· Strong customer service skills with a compassionate and patient-focused approach.
· Proficiency with Pracsuite Software or similar systems is a plus.
· Proficiency in Microsoft programs including Word and Excel.
· Excellent communication skills, both verbal and written.
· Ability to multitask and manage time effectively.
· Attention to detail and strong organisational skills.
· Ability to work collaboratively as part of a team as well as independently.
