We are seeking a friendly and enthusiastic Receptionist to join our vibrant Physio Clinic and Pilates studio in the Melbourne CBD.  We are in a fantastic and very convenient location close to many cafes and public transport.

We are a busy private practice with a strong manual therapy, clinical pilates,
exercise and running injury management focus. We are committed to providing exceptional client care, with an emphasis on forming supportive, enduring relationships.

As the first point of contact with our clients at our front desk, you will be passionate about client engagement and comfortable with the position of being in front of the house.

The logistics of the role

Clinic Hours:

  • Monday to Thursday 7:00 am-7:00 pm 
  • Friday 7:00 am-3:00 pm 

We are seeking a Receptionist for a part-time role for the following days:

  • Monday 12:00 pm-7:00 pm 
  • Tuesday 2:00-7:00
  • Wednesday 2:00 pm-7:00 pm 
  • Thursday 2:00 pm-7:00 pm 
  • Friday 7:00 am-12:00 pm 

We would also love the successful candidate to be available to pick up additional shifts to cover sick leave and holidays. 

Start date: Preference will be given to applicants who have availability to commence immediately and have prior experience in Physiotherapy practice.

 Key Responsibilities
 

  • Greeting and assisting patients, providing exceptional customer service
    Scheduling patient appointments and answering general queries
    Managing the clinic diary to ensure efficiency
  • Attending to incoming phone calls, emails and other correspondences in a
    professional and friendly manner
  • Patient billing, including processing private health, Medicare and
    compensable claims and end-of-day reconciliation of payments
  • Providing administrative support to practitioners and leading admin team
    members including but not limited to scanning, faxing, filing and general Admin tasks
  • Light cleaning duties, including pilates studio equipment, end-of-day
    vacuuming, tidying and preparation of consulting rooms
  • Close of shift duties

To be considered for this role, you will have previous experience in a customer service or receptionist role, preferably in the Allied Health space, in addition to the following skills and attributes:

  • Excellent and enthusiastic communication skills & demonstrated well-rounded interpersonal skills to work within a team 
  • Exceptional organizational skills, being adaptable and efficient in task completion
  • Commitment to improve the function and performance of the practice
  • Ability to multitask and prioritize effectively
  • Self-motivated with demonstrated initiative and attention to detail
  • Familiarity with online booking system 
  • Sound understanding and experience in Microsoft Office/ Google Docs / Sheets
  • Experience with Cliniko, HICAPS, Momence and processing patients payments using an EFTPOS terminal (preferred but not essential)
