The client is a music school that was founded in 2018 and sparks a passion for music in students of all ages. It offers personalized instruction in guitar, bass, drums, keyboard, ukulele and vocals, both in-person and online. The school provides fantastic holiday programs, workshops and classes that cover rock bands, songwriting, choir and theory. By partnering with schools, it also offers instrumental lessons, classroom music, productions, teacher training and more.
Sales:
• Initiate outgoing calls and emails to follow up on new leads and inquiries.
• Provide information about products, services and programs to potential clients/students.
• Schedule appointments and follow-up meetings for sales consultations or enrollment discussions.
• Maintain a database of leads and track communication interactions for follow-up and future reference.
Administrative Support:
• Manage and organize schedules, appointments and meetings for team members.
• Coordinate travel arrangements, accommodations and itineraries.
• Handle email correspondence and filter priorities for timely responses.
• Assist in document preparation, editing and formatting.
Communication Management:
• Serve as a liaison between team members, clients and external partners.
• Facilitate communication through various channels, including email, chat and virtual meetings.
• Maintain an organized system for tracking and responding to inquiries.
Task Coordination:
• Prioritize and manage tasks to ensure deadlines are met.
• Collaborate with team members to track project progress and deliverables.
• Assist in project coordination, including document management and file organization.
Research and Data Management:
• Conduct online research for relevant information, data and market trends.
• Compile and organize data to support decision-making processes.
Technical Proficiency:
• Proficient in using virtual collaboration tools such as Google Workspace, Microsoft Office and project management platforms.
• Ability to adapt and learn new tools and technologies as needed.
• Proven experience as a Virtual Sales Assistant or in a similar administrative role.
• Excellent organizational and multitasking skills.
• Strong written and verbal communication skills.
• Proficient in using virtual collaboration tools and office software.
• High level of discretion and ability to handle sensitive information confidentially.
• Self-motivated and able to work independently with minimal supervision.
• Availability during regular business hours and flexibility to accommodate different time zones.
• A bachelor's degree in business administration, communications, or a related field is preferred.
