Arbeitsbeschreibung - Logistics Specialist (f/m/w)

Ribbon Bio is a Vienna-based synthetic biology company developing next-generation DNA synthesis technology. Using proprietary algorithms and advanced cell-free assembly methods, we produce highly accurate and complex synthetic DNA molecules that enable breakthroughs in biopharmaceutical research, gene therapies, and life sciences. Our mission is to make high-quality synthetic DNA more accessible and accelerate innovations that improve human and planetary health.

We're looking for a Logistics Specialist (f/m/w) who can help build and optimize our supply chain and fulfillment operations as we scale. The Logistics Specialist will work together with our Supply Chain Manager and will be responsible for coordinating and managing the movement of goods, inventory, and shipments across our supply chain. This role requires strong organizational skills, attention to detail, and the ability to work in a fast-paced environment. The ideal candidate will help ensure products are delivered efficiently, cost-effectively, and on time while supporting operational growth.

Tasks

  • Coordinate inbound and outbound shipments with suppliers, carriers, and warehouse partners.
  • Manage inbound activities, including receipt of incoming goods and accurate booking of receipts into the ERP system.
  • Track shipments and proactively resolve delivery delays, discrepancies, or logistics issues.
  • Maintain accurate logistics, inventory, and shipping records.
  • Collaborate with production, customer service, and finance teams to ensure smooth order fulfillment.
  • Communicate with freight carriers, customs and customers to ensure a smooth shipping process between vendors, customers and Ribbon.
  • Analyze transportation costs and identify opportunities to improve efficiency and reduce expenses.
  • Assist in developing and implementing logistics processes, SOPs, and operational improvements.
  • Ensure compliance with transportation regulations, customs requirements, and company policies where applicable.
  • Assist in preparing and/or finishing shipments in cooperation with Production.

Requirements

  • Degree in Supply Chain Management, Logistics, Business Administration, or Life Science.
  • Minimum of three years of experience in supply chain management, logistics, or procurement preferably within the biotech or pharma industry.
  • Knowledge of international shipping, customs, and trade compliance.
  • Good negotiation and communication skills.
  • Familiarity with ERP system (Business Central knowledge preferred).
  • Very good English and German language skills (written and spoken) as well as the confident handling of Microsoft 365.
  • Ability to effectively manage multiple priorities in a fast-paced environment, with a proactive attitude and strong willingness to learn.

Annual gross salary starting from EUR 45.000, - depending on qualification and experience.  However, we offer a higher salary adjusted to your experience and qualifications.

Job type: Full time (40 h per week).

Location: Ribbon Bio Headquarters, Vienna, Austria
