Arbeitsbeschreibung - Student Affairs Assistant - Part-Time

Established in 2000, Study Abroad Foundation (SAF) has provided study abroad opportunities, including academic internships, to university students enrolled at SAF member universities in China, Japan, Korea, and other select Asian countries. More than 10,000 students from 180+ universities in Asia have enrolled to study abroad with SAF on programs at 80 host universities in Asia, Australia, Canada, Europe, New Zealand, United Kingdom and United States. Having merged with IES Abroad in 2017, SAF and IES Abroad now offer more than 350 programs in 20 countries. The Institute for the International Education of Students, or IES Abroad, is a non-profit study abroad organization that administers study abroad programs for U.S. college-aged students. Founded in 1950 as the Institute of European Studies, the organization has since been renamed to reflect additional offerings in Africa, Asia, Oceania, and Latin America. The organization now provides more than 125+ programs in 19 countries and 33 cities. Over 115,000 students have studied abroad on IES Abroad programs since its founding, with more than 5,700 students studying abroad each year.

Student Affairs Assistants are here to help IES Abroad students. They are one of their first contact points and should therefore be approachable and trustworthy.

  • Overseeing the reception during core working hours
  • Providing information to students about IES, Vienna, and their resources and events (public transportation, doctors, theater and concert tickets, travel, etc.)
  • Distributing incoming mail and packages, handling deliveries to the institute building
  • Supporting staff across all departments, especially with administrative tasks
  • Preparing materials and documents for Student Arrival, Orientation, and “Welcome Days”, as well as providing assistance during these busy periods of each semester
  • Chaperoning field trips, excursions and actively participating in IES Events
  • Assist Trips & Events Coordinator with various tasks
  • Help create schedules for students and chaperones
  • Assist in preparing trip materials (student information, schedules, confirmations, vouchers, medical supplies, etc.)
  • Work with Trips & Events Coordinator in communication with students via email with trips/events related inquiries
  • Help organize orientation / special events for semester students
  • Valid Austrian work permit
  • Willing to work overtime and weekends during busy times
  • Written and spoken fluency in English, proficient in German
  • Proficient in Microsoft Office, especially Word and Excel
  • Friendly, open-minded, dedicated, team-oriented, adept at human relations
  • Ability to speak comfortably in front of groups
  • Reliable, organized, takes initiative and has creative problem-solving skills
  • Experience working with university-aged students preferred

Number of Hours: 20 per week

Salary: minimum €1.100.- gross salary per month
