Job Description - Logistic - Supply Chain - Procurement Export/Import Specialist

We are currently looking for an experienced Product Manager with expertise in Bioprocessing products and software to develop and own the Univercells Technologies digitization strategy. This position will be based out of Nivelles, Belgium.

YOUR MISSION

The Import/Export Specialist prepares export orders and related shipping documentation for the both internal and international territory. You are the first point of contact for internal and external (customs authorities, agents,…) customers/parties, ensuring customs compliance within the Univercells Technologies processes. 

You will be responsible for documenting logistics export/import processes, KPI’s and the supervision of related WMS (Warehouse Management System) transactions.

You will work together with the sales and planning team, to anticipate needs of new customers, to provide shipping quotes and dates considering the team requirements and/or territory constraints. Additionally, you will find solution to import material from our customers or to export materials to a new territory.

You will also take part in handling outbound shipments, ensuring Sales kit assembly, secondary packaging and transport organization.

YOUR RESPONSIBILITIES 

  • Prepare and/or supervise the export-import orders, as well as all other deliveries requests
  • Create export/import documentation, both within and outside of the scope of ODOO/ Oracle
  • Process and ensure accuracy of customs documentation
  • Assist freight forwarders and customs brokers with import and export issues associated with all shipments
  • Communicate to customers shipping arrangements and provide shipment documents for each order as required
  • Work closely with the appropriate Customer Service group to ensure the customer’s needs and expectations are met
  • Assist in handling and resolving freight claims
  • Closely follow-up all of our shipments
  • Maintain all files and documentation relating to import/export matters, including export related KPIs and metrics
  • Maintain the relationship with the current freight-forwarder partners, while constantly analyzing the market for more adapted/ efficient alternatives
  • When applicable in the assigned region, collaborate with department manager and/or supervisor to meet requirements of foreign governments as specified in tenders, letters of credit, and orders
  • Provide leadership and coaching to logistics operators to achieve department objectives and exceed customer and corporate requirements
  • Participate in training sessions, seminars, meetings, etc. associated with export compliance
  • When needed, perform operational activities on shop floor while being the back-up of the logistics technician (inbound reception/outbound execution/cycle count execution)
  • All other duties as required or needed by the business.

YOUR QUALIFICATIONS

  • Bachelor’s degree or equivalent with 3-5 years of experience in Logistics or Operations. Pharma or Biotech environment experience is a plus
  • Experience with ERP / WMS systems (Oracle/Odoo is a plus)
  • Ability to organize change, build relationships, and make good use of available resources
  • Ability to problem solve and set priorities, generating new ideas and improved ways of working while maintaining effective control
  • Excellent quality and organization of work (autonomy, methodological approach, behaviour under pressure, rigor)
  • Excellent communication skills and ability to document processes
  • Knowledge of EU Customs / Department of Commerce export regulatory law
  • Strong knowledge of the Incoterms (“ICC 2020” version is a plus)
  • Working knowledge of Lean Supply Chain (Continuous Improvement Methodology, Kaizen, 5S,…) is a plus
  • Fluent in English and French
  • Enthusiastic and flexible enough to lead a multitasking role
