To support our business, we are looking for a detail-oriented and proactive Order Administration Representative to support our exporting markets in Eastern Europe, the UK, Africa (Maghreb, Egypt, etc.) with occasional back-up support for the Italian market.

Position Summary:

This role covers sales & service order processing, order administration, and shipping/logistics coordination to ensure smooth operations and excellent customer service.

Essential Duties and Responsibilities:

As an Order Administration Representative, you will spend most of your time:

• Enter and manage sales and service orders in Salesforce and JD Edwards, including credit/debit notes and service contract updates.


• Communicate with customers, sales, vendors, and logistics partners to ensure accurate order fulfillment and compliance.


• Prepare and coordinate shipping documents, customs clearance, and delivery of instruments and spare parts.


• Maintain accurate order records, inventory, and CRM/ERP data, and support Finance with invoicing and cash collection.

Experience & Qualifications:

• Experience in order administration, logistics, or customer service in an international context.


• Excellent English communication skills, Italian is required for coverage continuity . Any additional languages (French, Dutch..) are a plus.


• Knowledge of import/export documentation, Incoterms, and payment methods (Letter of Credit, Cash Against Documents).


• Strong organizational skills, attention to detail, and ability to manage multiple priorities.


• Proficiency in Microsoft Office, Salesforce, and ERP systems.

Location:

The role is a hybrid role, in line with current company policy and is based in Ghent, Belgium.
