Job Description - Senior Management Assistant

As Senior Management Assistant, you will support two board members. You will provide supportive, preparatory and substantive assistance in carrying out their work and responsibilities. In this way you will make a direct and qualitative contribution to the productivity and success of these board members. You will join a team of 4 Management Assistants and report to the Teamlead.

  • You regularly go over the agenda, as well as all new & ongoing issues with your respective executives and alert them to the completion of urgent matters
  • You work on a daily basis with local and international management team members and their assistants, as well as with all other employees of the organization. In doing so, you act as an ambassador for this private bank and the respective board members more specifically
  • You manage, handle and answer, autonomously and according to your own insight, correspondence for the attention of your board members (internal & external) in order to relieve them.

Description

  • You regularly go over the agenda, as well as all new & ongoing issues with your respective executives and alert them to the completion of urgent matters
  • You work on a daily basis with local and international management team members and their assistants, as well as with all other employees of the organization. In doing so, you act as an ambassador for this private bank and the respective board members more specifically
  • You manage, handle and answer, autonomously and according to your own insight, correspondence for the attention of your board members (internal & external) in order to relieve them.
You autonomously take over administrative tasks from your managers such as vacation requests/scheduling, entering/evaluating expense accounts, assessing access rights or training scores, invoicing, etc.
  • You identify problems and/or stagnation and you take proactive actions accordingly
  • You book flights, train tickets and hotel rooms for your managers, taking into account the applicable logistical and financial rules for business travel.
  • In the absence of one of your executives, you take initiatives to pass on urgent matters to the appropriate stakeholders in order to guarantee continuity.
  • You are responsible for preparing, facilitating, participating in, taking minutes during and following up team- or project-related meetings
  • You provide substantive support such as translations, making presentations, checking documents for errors, keeping the intranet up to date, writing communications, etc.
  • You keep your knowledge of new developments in the (private) banking sector up to date.

Your profile

  • Bachelor's degree or equivalent through experience
  • At least 5 years of experience in a similar role
  • Good knowledge of all Office 365 applications
  • Strong social and interpersonal skills and ability to build successful relationships with a variety of stakeholders such as board members (local or international), fellow management assistants (local or international), staff and external partners
  • Excellent time management is required as well as stress resistance and flexibility
  • Discretion and integrity are very important in view of the large amount of confidential information the management assistant has access to
  • You can work both independently and as part of a team. You are open, proactive and dynamic and have a sense of responsibility and initiative
  • You can multitask successfully and switch smoothly between different tasks and/or managers without losing sight of the overview or priorities.
  • Knowledge of languages : very good knowledge of NL and English. Good knowledge of French.
