The role

The Administration Manager oversees site administration, facilities, workplace services, and regulatory compliance to ensure efficient business operations within a manufacturing environment. This role is responsible for maintaining a safe, compliant, and well-managed workplace while leading environmental and occupational safety programs as the company's accredited Pollution Control Officer (PCO) and Site Safety Officer. The position also manages administrative teams, vendor partnerships, facility operations, and continuous improvement initiatives that support operational excellence.

Your Responsibilities:

Administration & Facilities Management

• Lead day-to-day administrative operations supporting manufacturing and commercial functions.


• Oversee office administration, document control, permit renewals, and statutory compliance.


• Manage facility maintenance, utilities, infrastructure, and workplace services to ensure business continuity.


• Coordinate building repairs, renovations, and preventive maintenance programs.

Environmental, Health & Safety Compliance

• Serve as the company's accredited Pollution Control Officer (PCO), ensuring compliance with DENR, EMB, and local environmental regulations.


• Act as the designated Site Safety Officer, implementing Occupational Safety and Health (OSH) programs in accordance with DOLE standards.


• Manage environmental permits, regulatory reports, inspections, incident investigations, and audit readiness.


• Lead workplace safety initiatives, emergency preparedness, employee safety training, and contractor compliance.

Vendor & Resource Management

• Manage third-party service providers including security, janitorial, waste management, pest control, and facility contractors.


• Oversee procurement and inventory of office supplies, PPE, pantry items, and administrative resources.


• Monitor vendor performance, contracts, service agreements, and cost efficiency.

Leadership & Continuous Improvement

• Supervise and develop the administrative team through coaching, performance management, and capability building.


• Prepare and manage departmental budgets while driving cost optimization initiatives.


• Lead process improvement projects that enhance administrative efficiency, digitalization, compliance, and overall workplace effectiveness.

What we're looking for:

• Bachelor's degree in Human Resources, Business Administration, Industrial Engineering, Environmental Science, Occupational Safety, or a related discipline.


• At least 3 years of relevant experience in administration, facilities management, or HR administration, including supervisory or managerial responsibilities within a manufacturing or FMCG environment.


• Experience handling environmental, occupational safety, and regulatory compliance is highly preferred.


• Accredited Pollution Control Officer (PCO) and DOLE Safety Officer (SO2/SO3) certifications are advantageous.


• Familiarity with ISO management systems, government audits, and regulatory reporting is an advantage.


• Knowledge of Philippine labor, environmental, occupational safety, fire, and building regulations.


• Experience managing facilities, contractors, vendors, budgets, procurement, and compliance documentation.


• Proficient in Microsoft Office and HRIS, facilities, or asset management systems.
