Descrição do Emprego - Associate - Employee Experience

This role is based in São Paulo, Brazil. The Associate will support the day-to-day human resources and workplace operations within Catalyst. The associate will support the Employee Experience department in various functions, including recruitment, employee relations, benefits administration, workplace operations and compliance. The Associate will play a key role in ensuring smooth Employee Experience operations and assisting employees with Employee Experience related matters.

Your Daily Tasks


The following are the Tasks linked to the Core Responsibilities that will be expected as part of this role: 


Talent Acquisition & Recruitment:


Include (but not limited to) the following tasks:


a.      Follow the service level agreement to ensure timely hiring of talent to meet business needs.


b.      Build and maintain a pipeline of potential candidates for future roles.


c.       Assist in job postings, screening resumes, and coordinating interviews.


d.      Conduct reference checks and facilitate background verification.


e.       Prepare offer letters and new hire documentation.


f.        Coordinate and facilitate employee onboarding programs.


g.       Support HR Manager with smooth offboarding processes.


 


Vendor Management and HR System Maintenance:


Include (but not limited to) the following tasks:


a.     Update and maintain HR systems and ensure data integrity.


b.     Manage HR vendors and supplier relationships


c.     Maintain and update employee records in HR systems.


d.     Assist in preparing HR reports and documentation.


e.     Support audits and compliance reviews.


 


People Operations Responsibilities: 


Include (but not limited to) the following tasks:


a.      Provide HR support where needed and work closely with broader HR team to help run smooth HR operations.


b.     Serve as a point of contact for employee inquiries and concerns.


c.     Assist in organizing employee engagement initiatives and events.


d.     Support HR team in handling employee grievances and conflict resolution.


e.     Support broader HR team in rolling out smooth Performance Management processes.


f.      Coordinate training for managers and employees on effective performance discussions.


g.     Maintain performance platform and support broader HR team in running frequent audits.


 


Payroll & Benefits Management Responsibilities.


Include (but not limited to) the following tasks:


a.     Assist in benefits enrollment and answer employee benefits-related questions.


b.     Support payroll processing by collecting and verifying attendance data.


c.     Liaise with benefits providers and payroll vendors.


d.     Support broader HR team with all payroll and benefit administration.


e.     Support Work Permit coordination and administration.


 


Office Management Responsibilities.


Include (but not limited to) the following tasks:


a. General office administration and administrative tasks as required.


b. Purchasing and maintaining office supplies.


c.  Managing office maintenance.


d. Acting as the first point of contact on a day-to-day basis for office deliveries, new starters, and guests.


e.  Ordering, collecting and replenishing daily office essentials (groceries, office snacks, etc.).


f.   Driving and owning the office snack/canteen process.


g.  Managing outsourced companies as required (e.g. the outsourced cleaning company) to ensure the office is clean and workable.


h.  Support the social committee with administrative arrangements for social events.


i.   Be a brand ambassador, ensuring all documentation is branded correctly.


j.   Coordinate venues, vendors, and itineraries for quarterly, monthly, and annual social events.


k.  Collaborate with the finance team to track and manage the annual social committee budget.


 


Risk and Compliance Responsibilities:


Include (but not limited to) the following tasks:


a.     Ensure compliance with labor laws and company policies.


b.     Compliance Tasks: Perform routine compliance checks and adhere to company risk and compliance processes and policies.


c.     Record Keeping: Maintain organized records of compliance documents and reports.


d.     Documentation Support: Assist in maintaining compliance documentation and records.


e.     Monitoring Tasks: Help monitor compliance tasks and assist with quality control processes.


f.      Compliance Culture - Working in tandem with the compliance colleagues to support a culture that is centered around good governance and compliance.


g.       Regulatory Adherence - Ensuring an effective risk-based approach is adopted to meet all regulatory compliance procedures per jurisdiction.


 


Required Skills & Experience

  • A Bachelor’s degree in Human Resources, or similar field.

  • A minimum of 3 years’ professional experience in a similar role

  • Candidate must be an energetic professional who doesn't mind wearing multiple hats.

  • Willing to handle a wide range of administrative and executive support related tasks and learn to work independently with little or no supervision.

  • Highly detail oriented and expert Excell skills

  • Innovator & self-starter with high energy and drive.

  • Fluent in English (writing & speaking).
