The Operations Manager lead and optimize operations at Hogarth. This professional will be instrumental in ensuring the efficiency, innovation, and integration of our systems, processes, and teams, driving productivity and excellence across all areas. With a keen eye for technology, people management, and governance, the Operations Manager will act as a catalyst for continuous improvement and strategic alignment, managing the pillars of Facilities, Governance, Business Intelligence (BI), and Workflow & Processes.
Key Responsibilities:
Management of Operational Pillars:
Facilities: Manage and supervise the Facilities team (two specialists), overseeing the company's physical and operational infrastructure, including travel management, facility maintenance, and operational purchasing.
Governance: Ensure operational compliance and resilience, including the management and updating of Business Continuity and Disaster Recovery (BCDR) plans, and coordinating audit and procurement processes in collaboration with the finance team.
Business Intelligence (BI): Manage the BI Specialist, ensuring the generation, analysis, and interpretation of internal data reports to support strategic and operational decisions.
Workflow & Processes: Lead the optimization of workflows and processes, including the management and implementation of tech tools and project management platforms (such as the Skills tool), and developing the team's proficiency in using these tools.
Team Leadership and Management:
Directly manage the Procurement Specialist, BI Specialist, and the teams involved in the Workflow & Processes pillar, ensuring their activities are aligned with operational and strategic objectives.
Foster a collaborative, developmental, and high-performance environment for all team members under your management.
Tool and Technology Management and Optimization (within the Workflow & Processes pillar):
Lead the management, selection, and implementation of production technology tools and project management platforms, ensuring their integration and maximum utilization. This includes the management of the Skills tool and other relevant platforms.
Promote and coordinate continuous training for teams on the effective use of tools, ensuring adoption and full use of all functionalities.
Stay updated on trends and innovations in management and automation tools, proposing solutions that optimize workflows and collaboration.
Ensure connectivity and interoperability between the various tools used by the company.
Process Management and Auditing (within the Governance and Workflow & Processes pillars):
Coordinate audit process activities in close collaboration with the finance team, ensuring data compliance and integrity.
Actively participate in the design, documentation, and optimization of internal processes, aiming for efficiency and scalability.
Review and create efficient and realistic work processes using process management techniques, automation, and personnel management.
Disseminate agile management practices at the business and project levels.
Operational Analysis and Strategy (within the BI and Governance pillars):
Act as a key reference in defining processes and analyzing operational data for decision-making.
Collaborate with the Data Analytics team to model, implement, and sustain the company's management information.
Analyze management reports and other information sources for the continuous improvement of processes.
Conduct update studies, develop strategic analyses, and identify investment needs.
Resource and Relationship Management:
Ensure employees have access to all necessary physical, software, and hardware resources for their roles.
Coordinate activities related to infrastructure and support essential for the smooth operation of the offices.
Manage external relationships, such as agreements with partners and suppliers related to operations.
Create, manage, and enhance indicators (KPIs) for monitoring and tracking services and production.
Requirements:
Proven experience in operations management, preferably in production companies, agencies, or companies with a strong project and technology component.
Strong knowledge of and passion for project management tools (e.g., Asana, Monday.com, Jira, Trello, Skills, etc.) and process automation.
Demonstrated ability in leading and managing multidisciplinary teams.
Experience with Business Process Management (BPM) methodologies and agile practices.
Robust analytical skills for building and analyzing reports and indicators.
Knowledge of administrative concepts and practices.
Advanced proficiency in English (fluent in writing, reading, and communication).
Preferred Qualifications (Nice-to-Haves):
Experience with BI systems and an understanding of data-driven decision-making.
Experience in facilities and procurement management.
Knowledge of Business Continuity and Disaster Recovery (BCDR) plans.
Knowledge of automation processes.
