Job Overview:
We are seeking a highly entrepreneurial, detail-oriented Chief of Staff to serve as the operational partner to a Company Partner, with primary responsibility for advancing the Partner’s investment deal pipeline and coordinating the execution of investment-related activities. This individual will take ownership of the processes, information, deadlines, and cross-functional follow-through required to move opportunities from initial review through member syndication and post-close handoff.
The successful candidate will anticipate obstacles, keep transactions moving without constant direction, and build scalable systems that reduce manual work and improve accuracy. A smaller but important portion of the role includes high-level executive support, such as managing priority communications, calendar coordination, and travel logistics, freeing up the Partner so he can focus on meeting great companies, selling our value, negotiating for allocations, and talking to larger investors when those meetings are lined up for the Partner.
Responsibilities:
Own the Partner’s deal pipeline: Proactively track deal status, milestones, dependencies, commitments, and next steps; identify stalled items, resolve routine bottlenecks, and escalate decisions requiring the Partner’s attention.
Coordinate deal launches and syndication: Partner with investment operations and other internal teams to prepare and distribute deal memos, coordinate launch schedules, manage member distribution lists, setup Q&A calls and support investor and founder communications.
Manage investor follow-through: Track investor interest and commitments, coordinate responses and requested materials, and ensure timely, accurate follow-up with internal stakeholders and members.
Maintain data quality and documentation: Keep Airtable, deal trackers, and related systems accurate and current; coordinate collection and validation of investment materials, support internal reporting, and assist with post-close documentation and handoffs.
Drive cross-functional execution: Coordinate with teams responsible for investment operations, communications, reporting, and other deal-related activities; clarify ownership, monitor deadlines, and ensure deliverables are completed.
Improve processes and reporting: Identify repetitive work that can be standardized or automated; develop practical workflows, checklists, and reporting tools; support weekly and monthly pipeline metrics and dashboards.
Support investment content and materials: Help organize deal supporting documents, pitch materials, Q&As, fundraising updates, and related documents; flag missing, inaccessible, restricted, or potentially confidential materials for appropriate review.
Manage priorities and special projects: Prepare meeting agendas, capture decisions and action items, track follow-through, and lead ad hoc operational projects as assigned.
Triage and organize the Partner’s email, draft responses and correspondence, and elevate high-priority decisions while maintaining discretion and appropriate approval controls.
Coordinate the Partner’s calendar, scheduling priorities, meetings, and travel arrangements, anticipating conflicts and logistical requirements.
Support expense reporting, recurring publications such as the weekly AI news recap, and selected administrative tasks, including subscriptions, renewals, and shipments, as needed.
Continuously look for opportunities to streamline executive workflows rather than relying on manual administrative effort.
Qualifications, Skills and Key Competencies:
Strong preference for experienced individual serving as Chief of Staff for a Founder/CEO of a venture backed startup
Demonstrated experience in investment operations, venture capital, financial services operations, transaction coordination, or a comparable fast-paced, detail-intensive environment.
Ability to manage complex workflows, multiple stakeholders, competing deadlines, and sensitive information with minimal supervision.
Strong analytical, organizational, written communication, and problem-solving skills; exceptional attention to detail and follow-through.
Experience maintaining operational data and reporting in systems such as Airtable; proficiency with Google Workspace and Microsoft Office.
Comfort using AI-enabled tools and automation to improve efficiency while applying appropriate judgment and confidentiality safeguards.
Strong interpersonal skills and the ability to communicate effectively with investment professionals, founders, investors, and internal teams.
Entrepreneurial mindset, sound judgment, adaptability, and a high degree of ownership and accountability.
Prior venture capital or private investment syndication experience preferred.
A collaborative, inclusive, mission-driven environment.
Direct exposure to venture capital investing, deal execution, and senior leadership.
An opportunity to take meaningful ownership of operations and build more scalable processes.
