Perth County is recruiting for a Court Service Clerk to join the Court Services team on a temporary full-time contract. This role is responsible for providing in-person administrative support service to the Ontario Court of Justice – Provincial Offences Court, judiciary, other court offices, general public, enforcement agencies and legal profession.
Primary Responsibilities:
Administration Clerk
  • Answers inquiries and responds to requests from the general public at the counter, over the telephone and by e-mail.
  • Accepts for filing, then inputs all certificates of offence, e-tickets and information into the CAMS system for upload into the provincial ICON (Integrated Court Offences Network) computer system using the Enterprise Attachment Transfer system.
  • Review and file daily ICON reports, pull payments from transfer in journal and print and prepare fail to respond dockets and monitor overpayments and suspense accounts.
  • Accept, prepare and distribute appeal documentation and coordinate appeal procedure with the appeal court.
  • Receives incoming mail, process and distribute as appropriate.
  • Accurately applies payments taken by phone, by mail and in person.
  • Balance daily cash receipts and prepare bank deposit.
  • Calculate judiciary and prosecutor time and verify monthly courtroom utilization report.
  • Prepare and distribute notices of trial, early resolution notices, and requests to reschedule court dates and file in applicable dates, schedule interpreters as required.
  • Receive, review and prepare for the judiciary notices of motion, re-opening requests and extension applications.
  • Reconcile docket headers to original endorsements.
  • Adapt to changes in procedures to comply with Ministry of Attorney General directives and changes in legislation.
  • Set up pre-authorized debits and monitor monthly payments in orbital virtual terminal.
  • Provide direction, instruction and support to summer students.
  • Escort Justice of the Peace to vehicle following court and escort members of public in lift.
Trial Co-ordination
  • Coordinate and schedule lengthy and special trials as delegated by the Regional Senior Justice of the Peace.
  • Review judicial schedules for accuracy and coverage, report errors to the office of the Regional Senior Justice of the Peace. Maximize use of court time including scheduling new matters as cases are resolved.
  • Contact and schedule out of town officers for Court dates.
  • Schedule enforcement officers in accordance with their availability.
  • Schedule and coordinate court appearances by interpreters.
  • Schedule and arrange all pre-trials between counsel and judiciary, complete documentation.
Court Monitoring
  • Perform the duties of the Clerk of the Court.
  • Prepare and distribute court docket, set up court room, keep record of court proceedings and administer proper procedural declarations.
  • Update all dispositions from court including fail to responds, extensions and re-openings, prepare and input courtroom utilization and update trial coordinator’s diary.
  • Prepare verbatim transcripts of court proceedings in accordance with Ministry standards as requested.
Additional Responsibilities
  • Act as back-up for front counter reception as required.
  • Perform other duties as assigned by Manager.
  • Adhere to Occupational Health and Safety practices and County of Perth policies and procedures; wear any personal protective equipment required to ensure personal safety and report any known hazards and Other duties as assigned by Manager.
 
Qualifications:
  • Post-secondary education with a degree/diploma in a program such as court administration, legal administration/law, business or office administration.
  • Minimum two years’ experience working in Court Administration or similar capacity.
  • Advanced proficiency in using Microsoft Office software.
  • The ability to learn to operate the provincial ICON computer system, including ability to process financial transactions accurately.
  • The ability to learn to operate CAMS (Court Administration Management System).
  • Excellent verbal and written skills.
  • Requires a high degree of professionalism, empathy, sensitivity, tact and excellent judgment.
  • Ability to maintain the decorum of the court, and to remain impartial during exchanges with clients.
  • Ability to interact with the judiciary in a professional manner.
  • Multi-tasking is mandatory due to the requirements to act as cashier, administration clerk, court monitor and trial coordinator.
Shift:In-person Monday to Friday, 8:30 am to 4:30 pm (35 hours per week).
 
Salary Range:$39.53-$46.24/hour (based on Perth County’s 2026 salary grid).
