Job Description

CEDA is currently seeking a Dispatch Administrator to support our Mechanical team during a turnaround at Nova Joffre. This is a temporary, on-site administrative role, working directly at the client site in a fast-paced, time-sensitive environment.

This role is well-suited for someone who thrives under pressure, adapts quickly to changing priorities, and enjoys being part of an on-site operations team. Strong organization, attention to detail, and the ability to manage multiple tasks simultaneously are critical to success in this position.

Location: Nova Joffre Site – Near Red Deer, AB

Duration: Approximately 3 Months

Schedule: 6/1, Night Shift, 10–12 hour shifts (Turnaround-based schedule)

Key Duties & Responsibilities

  • Build, dispatch, and update service orders, including entering actuals using FieldFX
  • Accurately submit employee hours and supporting documentation to payroll within required timelines
  • Assist with onboarding requirements, site access, and training documentation as required
  • Provide day-to-day administrative support to field supervision and management
  • Maintain accurate records, logs, and reports in accordance with company and site requirements
  • Support communication between field crews, supervision, and office personnel
  • Perform other administrative duties as assigned to support site operations

Role Specifications

  • Minimum 2+ years of administrative or dispatch experience
  • Previous experience in Oil & Gas, Industrial Services, or Turnaround environments is a strong asset
  • Experience working with unionized workforces is considered an asset
  • Familiarity with FieldFX, TRACK, and SharePoint is an asset
  • Prior payroll or time entry experience is an asset
  • Proficient in Microsoft Office, particularly Excel and Word
  • Administrative or business-related certificate is considered an asset

  • Quick learner, particularly with new systems and processes

  • Professional, dependable, and able to maintain a high level of confidentiality, integrity, and accountability
  • Adaptable and resilient in a dynamic, fast-paced work environment
