Position Summary


The Powwow Project Administrator is a member of the Indigenous Engagement Team who supports various Indigenous Programming events, specifically the Powwow. Reporting to the Manager, Indigenous Engagement, the Powwow Project Administrator works alongside the Powwow Coordinating Group to support the planning, development, implementation, and fulfillment requirements for the Saddledome Powwow. The Project Administrator collaborates closely with other members of the Powwow Coordinating Group as well as with internal and external stakeholders.


Responsibilities


The Project Administrator will provide essential support to the Powwow Coordinating Group in the planning and delivery of an arena-level powwow. Responsibilities include, but are not limited to:



  • Assist the Powwow Coordinating Group by supporting the planning activities related to cultural demonstrations, competition dancing, and audience engagement at the event.

  • Provide administrative and logistical support to the production, operation, registration, and arena/on-floor teams responsible for event execution.

  • Serve as a communication link by liaising with internal and external stakeholders, including the Advisory Group, to facilitate information flow as directed.

  • Support the marketing and communications team by helping to gather and organize materials and vision from the Powwow Coordinating Group in order to promote the Powwow.

  • Collaborate with the Sponsorship team by assisting in tracking and documenting fulfillment of sponsorship program elements.

  • Help support processes for registration and accreditation, working closely with the Powwow Coordinating Group and external organizations to support the execution of these processes.


Qualifications


The ideal candidate is proactive, detail oriented, optimistic, and experienced in dynamic environments requiring multitasking and support across various priorities. Key qualifications include:



  • Administrative and project management background.

  • Familiarity with Treaty 7 First Nations and cultures.

  • Knowledge of the Calgary Stampede and its cultural significance.

  • Experience supporting the planning or execution of events.

  • Strong verbal and written communication skills, with the ability to collaborate effectively and build positive working relationships.

  • Excellent organizational and administrative skills with strong attention to detail.

  • Proficiency in Microsoft Office suite.

  • Possession of a valid driver’s license and access to reliable transportation.


Terms of Position



  • This is a seasonal position from February – July, 2024 working between 20 and 37.5 hours per week. The position includes working some evenings and weekends.

  • Due to the event based nature of this position, the majority of work will be completed in-office, on site at Stampede Park.  There is some flexibility for remote work options on an approved basis.
