Job Description - Project Coordinator

The Native Council of Nova Scotia’s Aboriginal Peoples Training & Employment Commission (APTEC) is seeking candidates for a term contract as Project Coordinator with the NCNS Aboriginal Peoples Training & Employment Commission (APTEC) for an 11-month period, commencing May 4, 2026, and ending March 26, 2027.


 


The successful candidate will be responsible for the design, coordination, implementation, and reporting of four targeted training initiatives aimed at supporting Indigenous participants in gaining valuable skills and employment readiness.


 


Scope of Work


The Project Coordinator will be required to develop a comprehensive plan, including timelines, budgets, implementation strategies, and a final report, for the following projects:




    1.       Tiny Homes Carpentry Training Project (18–20 weeks)


    This project will provide 10–12 Indigenous participants with carpentry training through the


    construction of three tiny homes in the Truro region. The initiative will be delivered in partnership with an organizational Housing Commission and our training partner and will follow a prescribed training plan.



    2.       Indigenous Building Inspector Program (12–15 weeks)


    We are seeking to develop a specialized training program that creates a clear career pathway for


    Building Inspectors in Nova Scotia. This program will be modelled after an established online course offered through a local university and tailored to support participants in successfully preparing for


    and passing the National Building Inspector certification exam. The proposed course will be designed for a cohort of 6 to 8 Indigenous participants, with a focus on accessibility, practical skills development, and culturally relevant support. The goal is to equip participants with the knowledge, credentials, and confidence needed to pursue employment as certified Building Inspectors within their communities and across the province.


     


    3.       Small Business Program (10–12 weeks)


    Build and plan a 10–12-week cohort designed for Indigenous participants to explore self-


    employment, develop business skills, and build a strong foundation for launching their own venture.


     


    4.       Motive Power Direct to Employment (ongoing throughout the year – individual)


    The Motive Power Initiative is a targeted workforce development program designed to create direct entry pathways for Indigenous participants interested in careers in the automotive industry. Through hands-on training and culturally supportive programming, the initiative focuses on high-demand skill areas such as tire repair and maintenance, as well as auto body collision work. By reducing barriers to entry and connecting participants with practical experience and industry opportunities, the program aims to build sustainable careers while strengthening Indigenous representation in the skilled trades.



    Candidate Responsibilities


    The Project Coordinator will:



    • Develop a detailed and actionable project plan for all four initiatives

    • Establish timelines and deliverables aligned with program requirements

    • Prepare and submit a comprehensive costing/budget

    • Coordinate with all project partners and stakeholders

    • Oversee implementation and participant progress

    • Lead recruitment of eligible Indigenous clients who reside off reserve in Nova Scotia

    • Ensure all reporting requirements are met, including a final project report




    Overview:



    The Native Council of Nova Scotia (NCNS) Project Coordinator supports project managers by handling administrative tasks, scheduling, documentation, and team communication to ensure projects are


    completed on time and within budget. They act as the central point of contact, maintaining project plans, tracking progress, and managing resource allocation to keep workflows efficient.




    Core Responsibilities




    • Documentation & Reporting: Creating and maintaining detailed project plans, tracking progress, and producing reports.

    • Scheduling & Coordination: Scheduling meetings, managing calendars, and ensuring team members adhere to deadlines.

    • Communication: Acting as the liaison between teams, stakeholders, and clients.

    • Administrative Support: Assisting with procurement, invoicing, and keeping project documents organized.

    • Risk Mitigation: Identifying potential issues and assisting in solving them to keep projects on track.



    Required Skills and Qualifications




    • Organization: Strong capabilities in managing multiple tasks and timelines.

    • Communication: Excellent written and verbal skills for team collaboration.

    • Project Tools: Familiarity with software like MS Project, Asana, Jira, or Trello.

    • Experience: Generally, 1–3 years of experience in project support roles.



    Project Coordinator vs. Project Manager (Chief Programs Officer)


    While the Project Manager defines the strategy, scope, and goals, the Project Coordinator manages the day-to-day administrative work and execution of tasks at an agreed to plan as approved.

    · Work Plan & Availability


    This position is based onsite at the NCNS Provincial Office, located at 129 Truro Heights Road, Truro, NS, with standard working hours from 8:30 a.m. to 4:30 p.m. Please note that contract roles are not eligible for employee health benefits, nor are they eligible for holiday or vacation entitlements.


    · Cost Estimate


    Include your proposed fee structure (either hourly or fixed), as well as any anticipated expenses, such as travel costs required to support project activities. Please note that employee benefits are the responsibility of the contract holder.
