Job Description - Payroll & Accounts Payable Specialist

Payroll & Accounts Payable Specialist Location Hybrid work in Dartmouth, NS :

Under the supervision of the Controller, the Payroll and Accounts Payable Specialist plays a pivotal role in our organization, responsible for full-cycle payroll processing, payroll compliance, and employee recordkeeping, as well as accounts payable. This position demands meticulous attention to detail, a solid grasp of payroll regulations, and the ability to work efficiently in a fast-paced, deadline-driven environment.

As the Payroll and Accounts Payable Specialist, you will be responsible for processing employee and vendor payments, ensuring accuracy, efficiency, and legislative compliance.

This position will be based out of our Dartmouth head office and operate within our hybrid model.

Key Responsibilities include the following:

  • Manage end-to-end Canadian payroll operations for salaried and hourly employees across Canada
  • Process payroll bi-weekly; verify time and expense information in preparation for payroll processing. Interact with managers and HR as needed to complete verification prior to payroll commit
  • Ensure payroll is processed in accordance with respective provincial labour standards
  • Keep up to date on tax and labour legislations in all provinces across Canada
  • Prepare all required internal and external reports, as well as month-end reports
  • Responsible for issuing all ROE's to Service Canada
  • Year-end T4 validation and reporting
  • Calculate retroactive pay, various bonuses, and other compensation elements as required
  • Reconcile Paid Time Off
  • WCB administration
  • Optimize the efficiency of payroll processes
  • Manage and process accounts payable transactions with accuracy and efficiency
  • Process weekly cheques and EFT runs for vendor and client payments
  • Maintain accurate financial records and perform vendor reconciliations as necessary
  • Address and resolve any discrepancies in accounts payable
  • Process employee expense claims using Certify

Qualifications and Job Requirements:

  • A minimum of 2 years of directly related work experience
  • Knowledge of the complete payroll cycle and accounts payable processing
  • Good knowledge of provincial and federal legislations, including Quebec
  • Knowledge of UKG/Ultipro and SAP/Esker is a strong asset
  • PCP (Payroll Compliance Practitioner) certification is an asset
  • Intermediate to advanced level in MS Excel
  • Excellent time management, and organizational skills
  • Ability to work with tight deadlines
