Job Description - Administrative Assistant

The Ministry of the Solicitor General, Ontario Provincial Police, and the Healthy Workplace Operations Unit is seeking a qualified individual to join our team. In this exciting, rewarding and challenging opportunity, you will provide clerical and administrative support to the Healthy Workplace Operations Unit . About Us: The Ontario Provincial Police (OPP) is one of North America's largest deployed police services with more than 5,800 uniformed officers, 2,400 civilian employees and 830 Auxiliary officers. We provide essential services that ensure the safety and security of the people of the Province of Ontario. The OPP is a division of the Ministry of the Solicitor General, the largest operational ministry in the province with a presence in every community across Ontario. We are the largest police service in Ontario and the second largest in Canada. The Healthy Workplace Team provides access to a wide-range of health and wellness services. Our team is comprised of psychologists, mental health clinicians, and care navigators. Our team also offers fitness and nutrition services. The Healthy Workplace Team coordinates organizational and wellness programs including peer support and the Chaplaincy Program. Our team also coordinates and supports the occupational medicine program for employees and managers which is delivered by an external occupational physician. What can I expect to do in this role?

To provide clerical and administrative support to the Healthy Workplace Team ensuring the efficient daily operation of the office, while operating within standard operating policies, procedures, and practices.

How do I qualify?

Mandatory

• Ability to pass an OPP background/ security investigation.

Knowledge, Skills and Abilities:

Knowledge of office administration policies, procedures, practices to complete administrative and clerical duties, such as; correspondence, presentations, reports, purchasing, processing expenses, maintaining files and documents, and answering telephones. ?Knowledge and skill in the use of personal computer operation and software (e.g. Microsoft Word, Excel, PowerPoint, Access, Outlook, and OPS specific computer programs) to produce a variety of correspondence, reports, memoranda, presentations with graphics, and maintain records. Ability to operate office equipment such as telephones, photocopier, scanner, and facsimile to photocopy material and transmit correspondence. Written communication skills to compose correspondence, proofread documents, compile reports and summarize information. Oral communication skills and professionalism to answer telephones/transfer calls to appropriate staff and greet visitors both internal and external to the OPP; to respond to general inquiries from the public about the Bureau/Section and to set up/co-ordinate meetings. Analytical skills to determine the most effective way to present material when preparing routing packages, typing correspondence, reports, charts and tables and to resolve problems by trying different layout formats or software packages. Ability to work independently under general supervision and in accordance with established procedures, policies and methods. Position has access to administrative procedures and guidelines to make decisions relating to the format and routing of letters and briefing notes, and to resolve discrepancies relating to expenditures. Prioritization skills when performing a variety of different tasks with conflicting deadlines, to make determinations based on knowledge of subject matter or by discussing with principals.
