Job Description - Administrative Operations Specialist

Job Summary: Be the first point of contact for owners and tenants. Field phone calls and respond to emails. Update our systems and software. Assist the Property Management team with inspections, data entry, proposals, and other projects. Maintain internal files and data storage.

Qualifications: If you passed high school and are a fast learner, fun individual and hard-worker- you are in. No MBA required.

Skills and abilities: The ability to work in a fast paced environment, organize and process information, and use that information to make business decisions.

  • Excellent communication and interpersonal skills. The job entitles constant communication with employees and clients.
  • A good attitude, willingness to learn and work, and the ability to stay organized, prioritize, and get all necessary tasks completed.

Essential Duties and Responsibilities :

  • Visit & inspect properties, clean garbage and improve general cleanliness.
  • Manage and organize company correspondence, information, and filing systems
  • Assemble and analyze data, prepare reports and documents for the company and clients alike. Conduct research and prepare findings in a comprehensive manner.
  • Develop and execute systems to manage corporate information.
  • Schedule company meetings and other activities as necessary, keeping detailed minutes and notes.
  • Assist the Senior Property Manager and other staff when needed. This includes customer service and picking up and moving building materials and equipment.
  • Provide excellent customer service. Ensure that there is 24-hour emergency coverage for the property at all times.
