The Chief of staff reports directly to the President and works closely with our executive team (5 VPs). This person has an impact on our productivity and effectiveness by streamlining strategic initiatives and key organizational procedures and processes and helping in coordinating major projects. In short, the incumbent is a key decision support to the Senior Staff. The ideal candidate will have a proven track record in a business management role, with a specific focus on executive-level advising and interdepartmental collaboration.

 

As a Chief of staff, your day-to-day responsibilities include:

 

  • Act as advisor to the Senior Staff and the management team;
  • Assist the Senior Staff in facilitating effective decision-making and in cascading the outcome;
  • Master the Senior Staff environment to make his.her own priority management of the projects and actions within the job scope;
  • Coordinate the execution of strategic initiatives;
  • Serve as liaison with executives, senior leaders and staff regarding company climate, project updates, proposals, and planning. In general, the incumbent will harmonize bottom-up information. Through his.her actions, the incumbent continuously engages with management and staff;
  • Assess inquiries to the Senior Staff, determine course of action and delegate to the appropriate person to manage;
  • Participate in the coordination of crisis management and security of assets and people;
  • Work in close relationship with Site Management, Marketing and Communications;
  • Keep the Senior Staff informed of relevant and sensitive issues. Provide advice on how to approach these situations after analyzing the options and their possible repercussions;
  • Coordinate important meetings and events on behalf of the Senior Staff;
  • Research relevant facts and information by engaging various internal and external stakeholders, analyze information determining options and priorities and provide verbal and/or written briefing notes to the Senior Staff;
  • Plan, coordinate and participate in senior Staff meetings. Plan dates and agendas, define priorities based on organizational information, prepare information documents and ensure follow-up on decisions or action plans resulting from these meetings.  

To join our team, you must hold:

 

  • Bachelor’s degree in business administration or similar field;
  • Minimum of ten (10) years of relevant experience in a similar business role;
  • Strong judgment and good business sense in a variety of situations;
  • Experience in organizing and directing multiple teams and departments;
  • Experience in planning and leading strategic initiatives;
  • Excellent written and verbal communication skills;
  • Versatile abilities and extreme dedication to efficient productivity;
  • Proven track record of effective interaction with senior management;
  • Nimble business mind, focused on developing creative solutions;
  • Strong project coordination and reporting skills, with a focus on interdepartmental communications;
  • Customer oriented, business driven, entrepreneurial mindset;
  • Committed, thorough, hard-worker;
  • Ability to work under pressure at times and to handle confidential matters with discretion;
  • Results and action oriented, confident and excellent interpersonal skills;
  • Proactive, problem solver, creative, meticulous and resourceful;
  • Enthusiastic team player and able to work independently with minimum supervision;
  • Negotiation/influencing skills;
  • Fluent in French and English (verbal and written);
  • Solid skills with the MS Office Suite of tools.
