Position Title: Distribution Account Administrator
Location: Calgary, AB or Lower Mainland, BC
Job Type: Full Time Permanent
Position Summary:
The Distribution Account Administrator plays a crucial role in ensuring accurate order processing, efficient distribution, and exceptional customer service.
Key Responsibilities:
Distribution / Order Processing
- Review incoming orders for accuracy, ensuring they align with the master data, including price.
- Inform customers of unit prices, shipping dates, and any anticipated delays.
- Forward orders to the appropriate supplier for fulfilment.
- Prepare and process any required shipping documents.
- Generate and issue invoices for customers.
- Effectively resolve shipping issues or order discrepancies as they arise.
- Maintain open lines of communication with customers to address inquiries or concerns.
- Coordinate emergency orders, facilitating communication between customers and production plants.
- Arrange transportation for product delivery.
- Facilitate the onboarding process for new units and customers.
- Act as a point of contact for triaging customer concerns and complaints regarding our products.
- Update contracts and the system.
Other Duties to include but not limited to
- Assist with accounts receivable and accounts payable responsibilities.
- Inside Sales Administrative Duties.
- Manage and update price lists.
- Master reporting tools to analyse and report on relevant data.
- Request and negotiate freight rates with external carriers.
- Provide freight reports.
- Undertake additional administrative and inside sales support tasks as required.
Qualifications and Skills:
- Customer service experience an asset.
- Accounting background an asset.
- Strong attention to detail while multi-tasking.
- Strong email / business communication skills.
- Strong computer skills. Excel / SharePoint / One Note etc.
- Willingness to learn / embrace new technology.
- Good time management skills.
- Eager to learn and always looking for new challenges.
