Position Overview: My client is seeking a highly skilled and organized Executive Assistant (EA) to provide comprehensive administrative support to their President. The ideal candidate will be proficient in various software tools, including Photoshop, and possess exceptional organizational and communication skills.
This role offers an exciting opportunity to contribute to the success of a leading construction company through efficient management of administrative tasks and projects.
Key Responsibilities:
  • Administrative Support: Provide administrative assistance to executives by managing calendars, scheduling appointments, arranging meetings, and coordinating travel arrangements.
  • Document Management: Prepare, edit, and proofread documents, reports, and presentations utilizing Microsoft Office Suite and Adobe Photoshop as necessary for graphic design elements.
  • Communication Liaison: Serve as a primary point of contact for internal and external stakeholders, including clients, vendors, and team members, ensuring timely and professional communication.
  • Project Coordination: Assist in the coordination and execution of various projects, including construction bids, proposals, and marketing initiatives, by collecting data, organizing resources, and monitoring progress.
  • Event Planning: Support the planning and execution of company events, conferences, and meetings by coordinating logistics, managing invitations, and overseeing onsite arrangements.
  • Database Management: Maintain accurate and up-to-date records, databases, and filing systems to facilitate efficient access to information and support decision-making processes.
  • Research and Analysis: Conduct research on industry trends, competitors, and potential business opportunities to provide valuable insights and recommendations to the executive team.
Qualifications:
  • Proficiency in Adobe Photoshop: Demonstrated ability to create and edit graphics, images, and visual content using Photoshop software.
  • Administrative Experience: Proven experience in providing administrative support to senior executives in a fast-paced environment.
  • Organizational Skills: Strong organizational skills with the ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines effectively.
  • Communication Skills: Excellent verbal and written communication skills, with the ability to interact professionally with individuals at all levels of the organization.
  • Attention to Detail: Meticulous attention to detail and accuracy in all aspects of work, including document preparation, data entry, and correspondence.
  • Problem-Solving Ability: Resourceful problem solver with the capacity to anticipate challenges, identify solutions, and make informed decisions independently.
  • Tech Savvy: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
Education and Experience:
  • Minimum of 2-3 years of experience in an administrative role, preferably in the construction industry.
