Job Summary To assist in providing various administrative support functions to assist with the day-to-day operations and coordination in the Office of the Deputy City Manager (DCMO), Infrastructure Services
Major Responsibilities: - Assists with various office functions and assignments.
- Tracks Councillors and public requests
- Exercises caution and discretion with labour relations, human resources and other confidential information.
- Collects and assists in compiling data of a confidential nature related to labour relations and/or human resources for others to analyze and/or assists in the analysis. Documents findings.
- Inputs/retrieves/updates/maintains data.
- Assists in organizing and presenting data.
- Assists with calculations.
- Assists in the preparation, research, and processing of documents, types letters and memoranda of a confidential nature.
- Responds to general inquiries and requests, provides information or redirects inquiries to appropriate staff.
- Assists in updating Visio chart
- Assists in the organization of meetings, schedules appointments
- Provides back-up and support to the senior staff in the Deputy City Manager’s Office
- Other duties as required
Key Qualifications: Your application must describe your qualifications as they relate to: - Currently enrolled in or a recent graduate of any post-secondary program and/or any equivalent combination of education and experience.
- Experience with computers and in the use of various software, including but not limited to MS Office Suite (i.e. Word, Excel, PowerPoint and Visio).
- Experience providing customer service and responding to inquiries via telephone, email, and in person.
- Excellent interpersonal and communication skills with the ability to interact with staff and clients in an efficient and diplomatic manner, both in person, over the phone and via email
- Excellent organizational and problem-solving skills.
- Ability to work effectively as a member of a team.
- Ability to communicate effectively both orally and in writing.
- Ability to work under time constraints and meet deadlines.
- Ability to provide excellent customer service when dealing with the public.
- Ability to work flexible hours as assigned.
- Ability to travel to other City work locations as required.
