Job Summary Human Resources Coordinator – Under the direction of the Human Resources Business Partner, completes day-to-day human resources activities within Integrated Care Solutions (ICS) and collaborates in relevant National Service Centre initiatives.
Work Location : Windsor Retirement Home; 24 Park Crescent, Amherstview, ON K7N 0C3. In this position you'll work

Duties And Responsibilities HR Administration - Prepare and maintain materials for meetings, training, and Human Resources team
- Maintain Field employee human resources files such that all required documentation, including copies of current professional registration, probationary and annual performance reviews, supervisory reports, and continuing education documentation are included.
- Process terminations and/or resignations and LOA’s in compliance with Bayshore policies, procedures, and HR systems.
- Compose monthly employee newsletter.
- Maintain Field employee human resources files in conjunction with the Human Resources Business Partner and ensures that Certifications, documentation, final performance reviews and/or exit interviews, etc. are included.
- Maintain accurate issuing, tracking and when applicable, the return of key fobs / security / photo cards.
- Works with the Payroll and Benefits Coordinator(s) with regards to employee payroll and benefits-related inquiries and assist employees to complete forms.
- Handle all requests verification of employment; refer difficult situations to the HRBP or immediate supervisor.
- Monitors the ICS HR Mailbox multiple times throughout the day to assign tasks to the applicable HR Coordinator / HRBP / etc. and responds to inquiries as related to the role of the HR Coordinator.
- Participants with the Employee Advisory Committee by attending meetings, taking minutes, creating proposals to be brought to the management team, etc.
- Supports the CHW program (in applicable locations) with monitoring progress, transferring files and ensuring they are transitioned into the location in a supportive and informative manner by attending meet and greets, answering questions and tracking progress.
- Maintain current knowledge of provincial legislation relating to Employment Standards, Human Rights, Workplace Health and Safety, and Labour laws; assist to handle real or suspected violations of legislated requirements.
- Support co-op/ student placements
- Participate in ongoing internal and/or external continuing education activities.
- Adhere to Bayshore Policies and Procedures and educate employees as required, including answering general policy related questions.
- Participate in quality activities and continuous improvement initiatives in keeping with the company's Quality Management System.
- Communicate regularly with manager as well as other HR Coordinators to review best practices and ongoing process improvements.
- Maintains confidentiality of client and corporate information and discusses same only with appropriate Bayshore personnel.

Peoplesoft - Update/ Change actions for field staff, including but not limited to:
- Change of phone / address
- Emergency contact information
- Employment status
- Reporting structure
- Monetary changes based on performance or other increases, or change of position
- Enter employee credentials under Person Profiles
- Run reports for CPR, N95 and Nursing license, ensure all credentials are up to date
- Run and prepare reports for various reason at the request of the HRBP
- Daily user with HRIS system ensuring all information retained is accurate and up to date
- Responsible for working with the Talent Acquisition team to transition new hires from Taleo (or other designation recruiting software), to Peoplesoft
- Process terminations, resignation and LOA’s and all other internal tracking as necessary
Procura - Input new hire information
- Input service requirements for staff
- Process terminations, resignations, LOA and all other internal tracking as necessary
Operations Support and Reporting - Run the probationary period report on a monthly basis
- Set up probationary review meetings, assist Managers will completing the assessments and save to employee file
- Monitor attendance of high-risk employees and communicate via monthly reports to Managers
Onboarding - Process new hires in the HRIS
- Requesting technology as applicable for new hires
- File audits
WSIB - Support WSIB claims documentation including, but not limited to:
- Submitting online claims
- Following up with the employee for updated documentation
- Participate in the development of modified work programs as requested
- Tracking progress of modified work programs
Leave of Absence (LOA)- Track all LOA’s (MLOA, MAT/PAT, Personal, AWOL, etc.)
- Provide monthly reports on current / upcoming leaves to the onsite management and scheduling teams
- Ensure all LOA’s are supported with current documentation, and when applicable, work with the employee on obtaining updated documentation
- Ensure that all documentation is received and on file prior to an employee’s return to work, including any need to modified work / hours
- Under the direction of the HRBP, review unapproved leave of absences, following up with employees on their employment intentions, supporting documentation and coordinating return to work as applicable
Health & Safety - Participates in proactive Health & Safety activities while performing all duties. Is responsible to notify immediate Supervisor of any Health & Safety risks or concerns.
- Participate in the Health and Safety Program as directed by the immediate supervisor
Qualifications Education Completion of a recognized Human Resources certificate or diploma program
Experience 1-2 years progressively responsible and varied human resources experience
Other Skills And Abilities - Exceptional interpersonal skills and ability to handle difficult situations in an objective consistent format
- Ability to work independently and as part of a team
- Competency in keyboarding and Windows software
- Ability to operate all standard office equipment
- Commitment to continued learning.
- Internal candidates must have a demonstrated track record of achievement in dealing with clients and
- employees and a willingness to pursue recommended Human Resources workshops or seminars that maybe recommended by the HRBP.
