The International Admissions Operations Team Lead holds a pivotal role within Enrolment Services, reporting directly to the Manager of Admissions and Enrolment. The Team Lead is entrusted with the critical responsibility of managing the international admissions process, have a continuous improvement mindset, be willing and take initiative to learn about Strategic Enrolment Management ( SEM ) which is integral to the organization and its plans. Key duties include evaluating applications from prospective international students, making admission decisions, and ensuring the seamless enrolment of international students into academic programs. Beyond these core functions, the International Admissions Operations Team Lead assumes leadership of a dedicated team of International and Domestic Admissions Specialists, providing guidance, training, and direction to ensure the efficiency of day-to-day operations. In this capacity, the role plays a vital role in aligning the international admissions office with the strategic enrolment priorities of the organization. This necessitates close collaboration with Strategic Enrolment Management, domestic admissions, domestic recruitment, International Enrolment, international recruitment, international student advisors, Learner Pathways, Program Heads, Academic Chairs and various other relevant internal and external stakeholders. Through these collaborative efforts, a seamless and effective international admissions process is established, directly contributing to the institution’s mission and goals. The Lead is also responsible for establishing continuous training capacity for international admissions specialists, counsellors, educational agents, and the International Enrolment team. Furthermore, the International Admissions Operations Team Lead takes on the added responsibility of serving as a champion for the implementation and subsequent utilization of the Admissions module of the Customer Relationship Management ( CRM ) system, a pivotal technology solution that enhances the efficiency and effectiveness of the admissions process. As a champion for the CRM system, the Team Lead guides its successful integration into the workflow and ensures alignment with the organization’s strategic vision and the Strategic Enrolment Management plan. Work with colleagues in Student Information Systems ( SIS ), Information Technology Systems ( ITS ) and other Enrolment Services on aligning and support of CRM and Banner system integration. Ultimately, this multifaceted role involves leadership, collaboration, and a dedication to achieving the institution’s strategic priorities, all while maintaining the integrity of international admissions and delivering the highest quality service to international students. The International Admissions Operations Team Lead is instrumental in the continued success and growth of the organization’s international student body in alignment with the Strategic Enrolment Management Plan and Global Engagement Plan. Job Duties

Leadership :

  • Drive projects and enhancements related to international admissions within the admissions team.
  • Represent the admissions team in other institutional projects.
  • Oversee day-to-day operations, occasionally involving international travel.

Training and Development :

  • Design and deliver training sessions on admissions processes and systems.
  • Provide ongoing training and coaching to colleagues.
  • Develop and maintain a resource library and learning network.

Investigations on Fraudulent Documents :

  • Lead investigations into potential fraudulent documents to ensure authenticity.

Admission and Enrolment :

  • Administer special admission processes, evaluating international applications.
  • Make admission decisions and support admissions specialists in their work.

International Credential Evaluation :

  • Research, analyze, and interpret international educational systems.
  • Evaluate international transcripts and credentials.
  • Proficient with international credential evaluation and admissions frameworks within Canadian post-secondary institutions
  • Record information for training and historical purposes.
  • Explain equivalencies and international credential requirements to agents, in-country representatives, International Enrolment staff, and applicants.

Data Management :

  • Ensure data integrity, currency, and consistency within the Banner system, CRM system, and SharePoint.
  • Enforce accurate data entry standards among team members.
  • Correct data entry errors on student self-serve functions to maintain accuracy.

Communication and Outreach :

  • Respond to general inquiries related to education and equity.
  • Provide clear Sask Polytechnic policy interpretation.
  • Maintain effective relationships with various organizations and colleagues.
  • Communicate internally and externally about admissions processes and policies.

Electronic Document Handling and Records Management :

  • Utilize the Banner system, CRM system, and SharePoint for creating, maintaining, and managing electronic student records.
  • Conduct regular reviews to identify irregularities in electronic documents.
  • Implement scanning and indexing procedures for relevant electronic documents.

System Management :

  • Test and implement software updates, ensuring consistent data entry standards.
  • Document testing plans and results.
  • Provide guidance to faculty and staff on policy revisions and relevance to admissions.
  • Communicate changes in procedures to stakeholders.

Student Support and Service :

  • Respond to inquiries from students and the general public.
  • Resolve admission-related issues and complaints.
  • Escalate issues as needed and provide information and assistance to the admissions team.

This comprehensive role contributes significantly to the institution’s success and student experience.

Required Qualifications, Skills and Abilities (QSA)

  1. Essential attributes for this position include the capacity to make research-backed, evidence-based decisions with institutional impact, alongside adept communication, collaboration, and training skills. A Diploma in Social Sciences, Business, Education, Computer Science or related field. An equivalent combination of education, training and experience will also be considered.
  2. Three (3) years of recent and relevant experience including at least two (2) years of experience in an international admissions office or progressive involvement in admissions. These prerequisites are driven by the pressing demand for proficiency in international credential evaluation and admissions frameworks within Canadian post-secondary institutions.
  3. Proficient with managing data in multiple systems and able to update, retrieve, maintain, format and transmit information using database software, while ensuring accuracy and consistency of student records and data.
  4. Experience with utilizing MS Office, admissions and enrolment software, CRM systems and other comparable systems.
  5. Able to conduct research and perform comparative analysis of international education systems, credentials and subject equivalencies.
  6. Effective analytical, problem solving and decision-making skills. Able to analyze data and trends and make informed decisions and/or recommendations.
  7. Strong organizational and time management skills. Able to meet tight deadlines and prioritize work to accomplish objectives.
  8. Excellent communication and interpersonal skills. Able to effectively use various communication systems and tools to interact with diverse range of stakeholders.
  9. Demonstrates valuing diversity.
