Job Description - Project Administrator

Forbes Bros Ltd. is seeking a confident Project Administrator (Full time, Permanent) to support our Project Management team at our Kakabeka Falls office. Our Project Management Organization (PMO) is a cross-border team that supports and collaborates to strategically provide for the business.

The Project Administrator will work Monday to Friday, on a three (3) week on, one (1) week off schedule, onsite our Kakabeka Falls office. The Project Administrator will be responsible for assisting the Project Manager and Coordinators with the organization of resources such as equipment, meetings and information. They will also assist with the mobilization of the workforce to and from the project including new hire orientation. The successful candidate will have previous experience as a project administrator in a construction environment and will posses strong communication skills with a willingness to learn.

Key Responsibilities:

  • Lives Forbes Bros. value of WE WORK SAFE & never compromising on safety in all aspects of our every day
  • Schedule regular meetings and record decisions (e.g. assigned tasks and next steps)
  • Break projects into doable tasks and set timeframes and goals
  • Create, update and maintain workflows
  • Conduct new hire orientations as needed
  • Prepare and provide documentation to internal teams and key stakeholders
  • Order approved resources inclusive of but not limited to; equipment, office supplies, software.etc.
  • Retrieve necessary information (e.g. user/client requirements and relevant case studies) and report accordingly with Project Coordinator and Project Manager's
  • Track project expenses and predict future costs
  • Monitor project progress and address potential issues (i.e change orders)
  • Act as the point of contact for all participants
  • Travel to various project sites in Ontario as required
  • Perform other tasks related to this function as assigned

What We Are Looking For:

  • Minimum one (1) year experience of project administration in construction, is required
  • High School Diploma or equivalent combination of education and work experience will be considered
  • Strong written and verbal communication skills
  • Strong analytical, critical thinking, problem-solving skills, and a high degree of accuracy and attention to detail
  • Able and willing to present a valid Driver's license and acceptable drivers abstract
  • Able and willing to travel to various project sites in Ontario (up to 30% travel)
  • Able and willing to work extended hours of work and weekends, if required
