Job Description - Receptionist

Purpose of Position:
To manage the front lobby and reception area.
Key Responsibilities:

  • Perform all Reception duties, ensuring a welcoming and organized environment.
  • Answer Cisco Call Manager and accurately direct callers.
  • Handle security badge access, control and monitor entry points.
  • Assist with the maintenance and operation of security systems.
  • Ability to attain a Transport Canada Restricted Area Identity Card, required to assist with employee Transportation Security Services applications.
  • Oversee mail and courier services, coordinating incoming and outgoing correspondence.
  • Maintain postage meters, ensuring accurate and efficient processing of mail.
  • Update the Global Address Book, keeping contact information current.
  • Assist other departments with projects and functions as needed.
  • Maintain parking ledger and database.
  • Provide administrative support to the Real Estate Department which may include, but is not limited to word processing, data entry and internet research tasks.
  • Perform duties in accordance with established policies and procedures while giving primary consideration to personal safety, and the safety of co-workers and customers.
  • Other related duties as assigned.

Qualifications:

  • Training or Diploma relevant to Office Reception/Administration and/or an acceptable level of experience.
  • Working Knowledge of MS Office applications including - Outlook, Word and Excel.
  • Proficient in managing multiple tasks simultaneously while maintaining attention to detail and accuracy.
