YOUR ROLE Reporting directly to the Senior Manager Lease Administration, the Administrative Coordinator is responsible for the lease compliance of approximately 450 retail leases. Lease auditing for landlord overbillings. Abstracting critical data and financials in Real Estate Software (Lucernex). Performing Year End recovery auditing. Work with Finance and Accounting team, to resolve issues. He/she is responsible for, all payment setups for monthly rent and Year End recovery invoices Responsibilities Strategic: 5%
  • Maintain lease administration processes.
  • Build strong relationships with Landlords that will enable us to keep/improve the accuracy of all rental billings
  • Identify potential opportunities in lease languages for savings
Operational: 85%
  • Responsible for all Lease Abstracts and payment setup in real estate software (key dates and monetary entries)
  • Identify areas where expenses can be reduced and dispute landlord over charges.
  • Auditing Year End Recovery invoice, step-ups to ensure Landlord is not overbilling
  • Communicates with Landlord for missing supporting documentation to justify billings;
  • Compares the new step-ups with the last Actual received to ensure that our prepayments on account are in-line and ask landlord justification for high increases.
  • Updates monthly accruals and under review list
Leadership: 10%
  • Receive training to ensure the best Lease Administration practice, latest software updates and upgrades.
  • Participate and create goals to support OGSTM
DO YOU HAVE THE PROFILE WE'RE LOOKING FOR?
  • DEC or Bachelor’s degree in a related field
  • 3+ years in a retail Real Estate administration functions, including management of a large portfolio
  • Knowledge of North American Real Estate Leases and best practices
  • Expertise in lease audit and financial analyses
  • Excellent organizational, analytical and communication skills (written and verbal)
  • Proficient with Microsoft suite
  • Knowledge in Lucernex is an asset
