Alberta Infrastructure designs, builds, manages and maintains government-owned and operated facilities, and collaborates with other ministries to ensure that schools, hospitals and government facilities infrastructure meet the needs of Alberta’s population. The Ministry also provides accommodation services and manages a large portfolio of owned and leased facilities while maintaining fiscal accountability and optimizing value for Albertans.

Role Responsibilities

The Facilities Coordinator works closely with clients, contractors, landlords, Ministry representatives and the public to ensure the assigned building (or land) portfolio is operated and maintained in a safe, cost-effective and efficient manner.

Reporting to the Facilities Manager, this position functions within the parameters of applicable legislation, regulations, policies, directives and guidelines.

This position is responsible for the operation and maintenance of an assigned building (or land) portfolio through:

  • The supervision of in-house staff members
  • The administration of Total Property Management (TPM) contracts, leases, Transportation Utility Corridor (TUC) agreements and/or Alberta Schools Alternative Procurement (ASAP) agreements

The main responsibilities of the Facilities Coordinator are (but not limited to):

  • Planning and developing contract specifications
  • Administering contracts and agreements
  • Monitering associated deliverables for compliance and quality assurance
  • Overseeing the activities of service providers associated with various agreements and contracts
  • Supervising in-house staff members to ensure client and Ministry service delivery standards are met.
  • Coordinates the development of maintenance, occupational health and safety, security, and emergency plans for the assigned portfolio.
  • Supervising and supporting in-house staff members on site during building (or land) related emergencies on weeknights, weekends and holidays, outside the regular work hours.

This Facilities Coordinator also has a project coordination component:

Identifying, prioritizing and scheduling work for service as well as construction projects associated with building (or land) operations and maintenance

  • Overseeing the activities of consultants and contractors associated with projects
  • Delivery of building (or land) maintenance or tenant improvement projects for the assigned portfolio
  • Liaising with project stakeholders to ensure projects undertaken are completed in accordance with established requirements and with minimal disruption to clients

Qualifications

Required:

  • Two-year technical diploma in a related field plus six years related experience; or equivalent as described below.

Equivalency: Directly related education or experience considered equivalent on the basis of:

  • 1 year of education for 1 year of experience; or 1 year of experience for 1 year of education.

Assets:

  • Experience with the Infrastructure Ministry and its operations, documents, policies, guidelines et cetera
  • Property management experience; including building maintenance and operations, budgeting and accounting and health and safety
  • Project coordination and/or project management experience including contract and lease documents
  • Knowledge of relevant legislation, regulations, standards, and codes (e.g., building electrical and mechanical systems and equipment standards, security and emergency management guidelines, building and fire codes, Occupational Health and Safety Act , Freedom of Information and Protection of Privacy Act) .
