THIS IS NOT A REMOTE POSITION
Under the direction of the principal lawyer(s) and/or paralegals, the Legal Administrative Assistant is responsible for carrying out the administrative tasks required in the processing of clients' legal matters.
Duties and responsibilities
- Communicating with lawyers and other Firm staff, clients, witnesses, legal professionals, etc.
- using telephone and e-mail
- collecting and providing information
- receiving directions from the principal lawyer(s) or paralegals
- regularly reviewing files with the principal lawyer(s)
- reviewing and responding to incoming mail
- calculating limitation dates
- managing a BF (Bring Forward) system
- advising the principal lawyer(s) and paralegals of pending deadlines
- ensuring that submissions are made by deadlines
- Scheduling appointments, conferences, discoveries, examinations, hearings, mediations, trials, IMEs (independent medical examinations), etc.
- contacting clients, opposing counsel, court reporters, experts, courts, etc.
- updating the principal lawyer(s)' calendars, BF system and trial schedule
- arranging travel for the principal lawyer(s), clients and witnesses
- Preparing and submitting correspondence, forms and legal documents
- transcribing dictation from the principal lawyer(s) and paralegals
- creating documents from Firm precedents and/or using on-lines services such as DivorceMate
- drafting various pleadings such as affidavits and orders
- making copies and submitting to agents, courts, opposing counsel, etc.
- Organizing files and binders
- posting time and disbursements using TimeTracker, Copitrak, ESILAW, etc.
- preparing bills using ESILAW and Firm precedents
- following-up with clients for payment
- preparing and submitting trust transfers, adjustments to ledgers, etc.
- conducting conflict-checks in ESILAW
- requesting records and ordering documents
- using on-line services such as BC Online, myLTSA, etc.
Qualifications
Education:
- - Legal Administrative Assistant certification or equivalent experience
Technical Skills:
- Experienced with office equipment including computers, telephones, printers, copiers and fax machines
- Experienced with Microsoft Office
- Experienced with ESILAW or similar law firm software
- Fast and accurate keyboarding and transcribing
- Excellent grammar, spelling and punctuation
- Experienced with BC Online (Government of BC's electronic filing system), DivorceMate (family law software) and myLTSA (Land Title and Survey Authority of BC's electronic filing system)
- Knowledgeable on the rules of civil procedures and court documents and ICBC requirements

Salary: $46,000-60,000
