Job Description - Vice President, Finance & Chief Operating Officer

 

The Alzheimer Society of Alberta and Northwest Territories (AS AB/NT) is a not–for-profit association that exists to bring awareness to Alzheimer’s disease and other dementias; helps alleviate the personal and social consequences of the disease; provides education and support programs; and promotes and funds research into the cause, prevention, and cure.

  THE ROLE

Reporting to the CEO, the Vice President (VP), Finance and Chief Operating Officer (COO) acts as part of the senior leadership team and functions under the guidance of strategic and business plans. This position is accountable for the overall success of AS AB/NT’s financial, accounting, and information technology (IT) tasks. As a key business partner the VP, Finance & COO will support several operational initiatives throughout the organization.

By leading a team of five through three direct reports, the key accountabilities include the effective direction of the Society’s finance and accounting functions: including budget development and monitoring, financial reporting to senior management, the Board, and funders, and oversight of the coordination of the organization's information technology systems and risk registries.  This position is a combination of oversight and leadership in finance and IT, as well as task execution with a high attention to detail required in the accounting activities. 

THE CANDIDATE

Core Competencies:

  • Minimum post-secondary degree in Accounting, Commerce or Business Management / Administration.
  • CPA designation required.
  • Not for profit certification and/or experience in nonprofit/charitable accounting is preferred.
  • 10 years of progressive financial responsibility
  • 3 years managing staff members.
  • Accounting software (Financial Edge NXT)
  • Databases (MS Dynamics)

Key Responsibilities

Financial oversight and administration:

  • Provide accurate and timely recording and organization of accounts payable including the management of      vendor relationships and accounts reconciliation.
  • Recommend business improvement strategies for the society.
  • Ensure full cycle recording of donations are received.
  • Issue receipts consistent with Canada Revenue Agency statutory requirements, including the Income Tax Act   and other statutes and regulations.

Responsible for cash management and Investments:

  • Manage bank relationships and oversee cash management process.
  • Evaluate investments including annual analysis and provide recommendations for improvement.

Support philanthropic objectives:

  • Ensure robust and accurate process for accepting and receiving donations.
  • Participate in grant writing and analysis.

Financial planning, evaluation, and reporting:

  • Lead the development of the annual budget in consultation with the CEO and Treasurer and/or Finance             Committee.
  • Budget allocation with Financial Edge NXT.
  • In conjunction with senior team maintain the AS AB/NT Risk Registry.
  • Ensure that the Society is compliant with all statutory requirements, including but not limited to Canada              Revenue Agency, Societies Act, etc.

IT and operation support:

  • Provide guidance and oversight to the Manager, IT to ensure successful development and operation of             information  systems.
  • In conjunction with senior leadership, reviewing and approving IT policies.

Operations:

  • Oversee the administrative function of the organization including property/facility leases, management, safet     of the work environment, and provision of furnishings and equipment necessary for effective operations.
  • Mentor and support accounting staff.
  • In conjunction with senior leadership, review and approve operational policy.
