Job Description - Warehouse Coordinator

Job Title: Warehouse Coordinator Position Type: Permanent Full-Time Hours: 40 hours per week Department: Retail Operations and Dining Services – Warehouse Reports To: Warehouse Operations Manager Department Overview: This position falls under Retail Operations and Dining Services. This division provides exceptional dining experiences and retail offerings that enhance the guest experience and support the mission of Heritage Park. Our on-site restaurants and dining services offer a variety of culinary experiences. The retail outlets offer a curated selection of merchandise inspired by the history, culture, and heritage of Heritage Park. Amongst our offerings are unique souvenirs, gifts, artisanal products and locally-made crafts. Guest Services and Gate Hosts are dedicated to ensuring that every visitor enjoys a seamless and memorable experience at Heritage Park. From assisting with inquiries and reservations to providing information and assistance, our teams are committed to delivering exceptional customer service and hospitality. Job Overview: Under the direction of the Warehouse Operations Manager, the Warehouse Coordinator performs various administrative and physical tasks that support the optimum utilization of the warehouse facilities, and to ensure efficient processes and accurate inventory records. Responsibilities: Warehouse Operations Support
  • Receive, log and inspect incoming deliveries, reporting condition of receipts, ensuring compliance to specifications and quantity as outlined on the Purchase Order and arranging for return of defective deliveries as required
  • Maintain the warehouse area and vehicles in a clean and orderly fashion
  • Record Purchase Order information and requisitions from the various departments into the computerized inventory system, with guidance from the Warehouse Operations Manager for complex transactions
  • Order inventory for the food and retail outlets, ensuring adequate stock levels while minimizing waste
  • Utilize key metrics such as customer traffic, lead times, stock outs, FIFO (First In First Out), and FEFO (First Expired First Out) to inform inventory ordering decisions for the food and retail outlets, optimizing supply chain efficiency and minimizing write-offs
  • Support the inventory reconciliation process throughout the year and at year-end, working in conjunction with the Accounting Department
  • Perform monthly inventory counts, analyzing, correcting and reporting inventory variances to the Warehouse Operations Manager
  • Work with the Warehouse Operations Manager to ensure all safety training and processes are in place to ensure a safe working environment;
  • Support the Warehouse Operations Manager with hiring and training of new staff, especially training when out on delivery.
Client Service
  • Ensure that internal client orders are accurately fulfilled and delivered on time, maintaining positive relationships with vendors and internal clients and stakeholders
  • Handling customer inquiries regarding product availability, order status, and inventory-related questions, providing prompt and helpful responses to enhance internal client satisfaction
  • Address any issues or concerns raised by internal departments regarding their orders or deliveries, and resolving conflicts or discrepancies in a timely and professional manner
  • Schedule deliveries and transport inventory with the Park as required
  • Support Retail operations by informing the department of deliveries to the Warehouse and transports goods upon request
  • Assists with the set-up and takedown of seasonal events
  • Ability to independently resolve issues while communicating in a timely manner imperative and a key responsibility of this role

  • Perform other duties as required
Required Qualifications:
  • Completion of secondary school education is required; post-secondary education in warehouse management or logistics would be an asset
  • Minimum 3 years’ prior experience related experience working in a warehouse with inventory control is required
  • Familiarity with inventory management systems is required
  • Possession of a valid Class 5 Driver’s License is required
  • Possession of a forklift certification is an asset
  • Ability to lift and move heavy objects safely
  • Strong attention to detail and accuracy in performing tasks
  • Excellent organizational skills and the ability to prioritize tasks in a fast-paced environment
  • Ability to work independently and as part of a team
  • Demonstrated strong interpersonal and communication skills in a client-faced setting
  • All successful candidates (over the age of 18) will be required to go through Police Information Check as a condition of employment.
Special Clothing and Equipment:
  • Appropriate costuming and safety equipment will be provided by Heritage Park; and
  • Employees are required to wear steel-toed footwear, as designated by the Heritage Park Costume Department (reimbursement for steel-toed boots up to $150)
Special Working Conditions:
  • The position will be exposed to weather extremes and will work both indoors and outdoors; and
  • This position is physically demanding, and the incumbent must have the ability to lift heavy items, stand for long periods of time and walk throughout the Park for extended periods
Hours of Work:
  • The standard hours for this position are 40 hours per week;
  • The schedule will vary based on business need with frequent weekends required during the operating season; and
  • Occasional evening work may be required
