Job Description - Assistant Executive Director

The CMHA-YT Assistant Executive Director will provide administrative support to the Executive Director. The Assistant Executive Director will collaborate with the Executive Director to sustain, promote, and grow programs and services. This position will play an active role in the HR sector of the agency and will act as a proxy for the Executive Director in their absence.

Key Responsibilities

  • Collaborates with the Executive Director to sustain, promote, and grow programs and services.
  • May hire, train, and handle discipline and termination of subordinate employees.
  • May be asked to assist with or conduct performance evaluations that are timely and constructive.
    Manages budgets for special programs and expenses.
  • Participates in strategic planning and presides over meetings as needed.
  • Maintains files and records as requested. Recordkeeping responsibilities may include overseeing and maintaining files of applications, interviews, offer letters and rejections, employee files, and evaluation dates.
  • Creates and manages the annual calendar of activities such as special events, fundraising initiatives, and similar projects.
  • Drafts and maintains policies and procedures, ensuring compliances with applicable local, territorial, and federal laws.
  • Organizes meetings including determining the time and place and drafting and delivering correspondence such as agendas, minutes, and transcripts.
  • Website and social media updates and management.
  • Collaborates with the Executive Director in developing and writing policy and pertinent documentation.
  • Acts as a proxy for the Executive Director as needed in their absence.
  • Performs other duties as assigned.

Accountabilities

  • Understands and ensures behaviour is consistent with the CMHA-YT’s core values, mission and policies.
  • Completes all necessary documentation and maintains appropriate record keeping.
  • Participates in relevant program meetings within the counselling program and wider CMHA-YT team as required.
  • Engages in professional development (PD) activities to ensure ongoing learnings and development.
  • Actively gathers current best practices to inform and sustain quality, improvement, and innovation.
  • Adheres to all industry appropriate best-practice regulatory, mandatory and ethical guidelines to ensure professional conduct at all times.

Essential Qualifications

  • Exceptional verbal and written communication skills.
  • Proficient with Microsoft Office and related software packages.
  • Excellent organizational skills and attention to detail.
  • Ability to prioritize and delegate tasks.
  • Ability to maintain confidential records.
  • Excellent speaking and presentation skills.
  • Ability to create and present ideas and budgets in a variety of formats.
  • Bachelor's degree in a related field.
  • Three to five years of related experience required, including supervisory experience,
  • Knowledge of the philosophy, mission, leadership needs, and planning requirements of the organization.

Desirable Qualifications

  • Bilingual (English/French)
  • Standard First Aid certification
  • Facilitation of psycho-educational programs experience

Other

  • Must have a recent (within 12 months) satisfactory vulnerable sector criminal records check.
  • Must complete FN101 within first 6-months of employment.
  • Must be open to flexible hours to meet client demand and service delivery needs. As CMHA-YT operates a 24-hour agency, this includes some evenings and weekends.
