Job Description - Proposal/CRM Coordinator

SBM is seeking a Proposal/CRM Coordinator to join the Business Development Team in our London or Kitchener office. Reporting to the Senior Leader of the Business Development Team, the successful candidate will assist the Division Managers and Project Leads in researching, analyzing, and answering requests for proposals (RFPs). The Proposal Coordinator will track proposals and assist with follow ups, as well as tracking and compiling client feedback and success rates for distribution. They may also assist as required with any other business development related administration tasks. The successful applicant may also assist with SBM's marketing initiatives such as organization and collection of content, assist with preparation of draft marketing materials, social media, and provide support to the Marketing Team. SBM has offices in London and Kitchener, providing engineering services to a variety of private and public sector clients across Southwestern Ontario. The firm employs over 120 engineers, engineering trainees, technologists, technicians, planners, and administrative personnel. Key Responsibilities:
  • Research bid opportunities that are a match for SBM’s service offerings.
  • Research and secure Vendor of Record (VOR) opportunities.
  • Analyze bid opportunities, assist with scope clarifications, and proposal or RFP creation.
  • Assist with creation of proposal related materials (CV’s, executive summaries, etc.).
  • Proofing reading and editing technical and non-technical documents.
  • Track received documents and assist in tracking responses.
  • Track proposals from the time of receipt through to submission and assist with follow-ups.
  • Compile, analyze, and report success rates for single and multi-disciplinary proposals; evaluate and distribute feedback to applicable parties to improve future submissions hit rate.
  • Assist with developing promotional material.
  • Assist, as required, with any other business development related administrative tasks.
  • Assist with Client Relationship Management (CRM) creation and upkeep.
  • Other tasks as assigned by Employee Lead.
Skills / Qualifications:
  • Minimum High School Graduate, completion of post-secondary education is preferred.
  • 2+ years experience in a Proposal Coordinator or similar role with transferrable work experience.
  • Excellent written and verbal communication skills.
  • Strong integrity and ability to maintain confidentiality and manage sensitive information.
  • Ability to work both independently with little supervision and in a team environment.
  • Knowledge and/or experience in the land development or building construction fields considered a strong asset.
  • Proficiency in MS Office Suite (Planner, Excel, Word, Power Point, Outlook, and Teams) and excellent computer literacy required.
  • Experience using graphic design software (e.g., Adobe Photoshop, Canva, InDesign, etc.) considered an asset.
  • Strong attention to detail, accuracy, and organization.
  • Commitment to ongoing professional and personal growth; willingness to learn.
  • Self-motivated team player who is adaptable and flexible to changing priorities.
Compensation: This is a full-time position with a competitive salary and annual performance bonus. SBM offers a positive working environment and a good relationship with our employees, which translates directly to better customer service and a superior finished product for our clients. The successful candidate will typically work 8am-5pm Monday-Thursday and 8am-2:30pm on Fridays. What We Offer:
