Job Description - Manager of Staffing Services



Reporting to the Director, Access & Flow, the Manager of Staffing Services will manage the day to day operations of the Staffing Services team to ensure the program goals and objectives are met and are in alignment with the corporate
strategic plan. The essence of the role is focused on providing leadership to a dynamic team to employ best practices, and effectively communicate/lead processes to support, competent and cost effective services using an evidence-informed and stakeholders engagement approach

Job Description



Accountabilities: 

Quality and Safe Patient Care

• Supports the implementation of best/leading practices, quality documentation and accountability models
• Facilitates an inter-professional collaborative approach, recognizing and maximizing the unique contribution of each team member
• Monitors and responds in a timely manner to quality, safety, risk and other performance/outcome indicators
• Monitors service quality standards; perform quality audits and take corrective action, as required
• Provides consistent staff scheduling and relief workforce deployment services to Managers of the services
• Other duties as assigned such as Special Projects

Leadership and Collaboration

• Collaborates with Director and shares accountability for achieving program targets, managing risk, under the direction of the Staffing Services program
• Takes a lead role in creating a culture of safety, risk mitigation, quality, and service
• Monitors established evaluation and outcome criteria to drive timely delivery of outputs; analysis of data, interpretation of data and provide feedback to the team on findings
• Works collaboratively with the Managers and Directors to identify gaps in processes, policies and procedures
• Liaise with other departments such as Payroll, Human Resources and Finance to ensure scheduling software is configured appropriately to comply with interfaces with other software packages
• Facilitates huddles with Staffing Services Team and attends other internal/external meetings as appropriate
• Provides collective agreement interpretation regarding general issues related to leave requests, relief scheduling, hours of work, overtime and premiums to program managers and staff
• Assists the Strategic Business Partners with gathering information for grievances, employee time and attendance management
• Fosters and develops relationships with partner agencies to ensure optimizing available staffing resources

People Development and Team Building

• Fosters open communication, learning, and professional growth of the nursing staff
• Provides leadership to the scheduling team while fostering a positive work environment focused on exceeding customer expectations and leading by example
• Cultivates effective inter professional relationships at all levels
• Creates an environment that empowers individuals to take ownership and responsibility for their actions, promotes staff initiative and nurtures high morale and engagement
• Demonstrates relevant on-going professional development and commitment to continuing development

Clinical Resource Utilization Management

• Manages the unit budget and all staffing requirements cost-effectively in meeting the daily operational needs
• Identifies issues and challenges; monitors trends requiring targeted interventions and change in practice patterns or processes
• Provides value-added point of care resources to ensure and optimize safe and effective patient-centered care
• Responsible for the oversite of time keeping, shift changes, payroll completion and approval
• Organizes training and support users in operating the computerized scheduling program

Qualifications




• Baccalaureate Degree in Human Resources, Business or related field is required
• Minimum 5 years supervisory experience in a health care environment is preferred
• Demonstrated knowledge of Kronos Dimensions or similar scheduling/software programs is preferred
• Experience in data interpretation and analysis as a means to support strategic decision making
• Exhibit a high level of accountability and capability to identify opportunities, take initiative and think through future implications
• Knowledge of collective agreements and working experience in a unionized environment is preferred
• High level of proficiency with MS Office including Excel, Word and PowerPoint
• Demonstrated leadership skills with the ability to inspire, motivate and develop a high performance team
• Demonstrated inspirational leadership, effective communication, team building, problem solving and conflict resolution skills
• Excellent interpersonal and communication skills; professional, diplomatic and confident with a proven ability to work with individuals across all levels of the organization.
• Strong service orientation with the ability to anticipate and solve problems.
• Excellent written, verbal communication and documentation skills
• Excellent organizational and time management skills with the proven ability to manage competing demands

Hours: Days, 8 hours, Including weekends and statutory holidays
