Job Description - Office Services Assistant

Job Description The Opportunity: Make your mark while you grow your career! As a member of the Office Services Team, you will work in a fast-paced environment and use your knowledge of office efficiency and industrial site experience to help colleagues with mail, stationery and refreshment needs. As an Assistant, Office Services, whether it’s answering questions, assisting with inquiries, or proactively connecting colleagues with the right team members, you’ll be the first line of support. To help deliver a great client experience, you’ll be on site full-time and flexible to work at both Horizon and Albian Office Services locations.
  • Job location: Horizon Site - Fort McMurray, Alberta
  • Shift schedule: Monday to Thursday, 10hr/ shift
  • Safety sensitive position: Yes

Key Accountabilities
  • Provide exceptional customer service in person, over the phone and via email to all staff, contractors and vendors
  • Responsible for collection and distribution of all incoming and outgoing mail
  • Requisition, distribute, and maintain inventory of office supplies and stationery
  • Coordinate the supply and delivery of refreshments (coffee, water, etc.) in kitchens and lunchrooms throughout site
  • Create reports, distribute internal correspondence, maintain spreadsheets and write procedures related to the department
  • Support leader and peers with vacation coverages, event planning and other administrative duties as required
What You Bring To The Role
  • 3+ years’ experience in an administrative role with priority given to candidates that possess both industrial oil and gas and customer service experience
  • High School Diploma or GED (required) coupled with an Office Administration Certificate or Diploma (preferred)
  • Proficiency with Microsoft applications (Outlook, Excel, Word, PowerPoint)
  • Strong written and oral communication skills, analytical and problem solving skills with the proven ability to adjust priorities in a changing and dynamic working environment
  • Valid Alberta driver’s license is required
  • Physically fit, able to lift/carry boxes that could weigh up to 50 pounds, stairway travel is required, high to moderate walking
