Job Description - People Services Coordinator

Title : Human Resource Coordinator - Shared Services

Employee Working Location : Remote (Canada)

Employment Status : Temporary Full-Time (12 Months)

Salary Band : $ 55,000 - $ 60,000 /year

In this role, you will :

Responsibility 1 : Daily Operations

  • Performs all activities of the HR Lifecycle in collaboration with Talent Acquisition, Total Compensation and Strategic Operations Business Partners, such a but not limited to:
    • Onboarding and orientation to new employees and volunteers using established processes and technology.
    • Change requests for new and existing employees and volunteers efficiently and in accordance with the established timelines.
    • Offboarding functions for existing employees and volunteers.
  • Assists Specialists, Managers and HR Business Partners with any root cause analysis.
  • Engages and supervises a group of HR volunteers and assists in training and orientation.

Responsibility 2 : People Experience

  • Act as trusted and credible point of contact, providing information to clients in accordance with CRC policies, processes, and standards.
  • Responds to inquiries from external and internal stakeholders initiated from a variety of sources including but not limited to phone, email and ticketing system.
  • Using the first touch resolution approach, resolves inquiries as they are received wherever possible and troubleshoots any issues to resolution.
  • Actions tasks accurately and in accordance with the established quality key performance indicators (KPI).
  • Updates actions and responses accurately and timely using the designated tracking systems and software.

Responsibility 3 : Routine or Special Projects

  • Supports on audits or projects related to any service line within Shared Services or People Services.
  • Participates in system implementations, including but not limited to testing and training.
  • Integrates volunteer resources within the scope of responsibilities, as required.
  • Participates in disaster planning, preparation, and response, as required.

What we are looking for :

  • A three-year college diploma or university degree in a related field.
  • 1-2 years of job-related work experience, or an equivalent combination of education and experience.
  • Knowledge in and ability to apply human resources legislation, policies, programs, and best practices.
  • Ability to problem solve by using defined policies and innovative thinking. Facts may be incomplete and may consider collaboration, teamwork, and innovation to solve more complex problems.
  • Ability to build client relationships by understanding client needs, addressing concerns, and ensuring overall client satisfaction.
  • General knowledge of Volunteer Resources.
  • Proficient with HRIS and Volunteer System technology and comfortable using various software platforms (e.g., Taleo, Smartsheet, HumaniT, Jira/Atlassian, and Microsoft Dynamics AX, Microsoft D365).
  • Fluency in French and English is required.
  • Proven ability to adhere to confidentiality guidelines/polices and use of discretion when handling sensitive information.
  • Experience working within a virtual team environment is an asset.
  • Proactively identifying opportunities for process improvement and implementing changes to enhance efficiency and effectiveness in service delivery.

Working conditions :

  • Shared Services operates between 8:00 to 19:30 (EST) Monday to Friday.
  • Most of the work is performed in a virtual home office environment; therefore, the candidate must have reliable access to a computer, the internet, and a phone.
  • Ability to work some non-traditional hours (daytime, evenings and weekends) and longer hours often on short notice especially during times of an emergency response.
  • Meetings and supervision may be in person, by telephone or through other electronic means.
  • Domestic travel may be required.
